HR Coordinator
Position Summary:
We are seeking a proactive and resourceful HR Coordinator to manage and coordinate a broad range of Human Resources activities, including recruitment, onboarding and offboarding, employee relations support, HR administration, compliance, training, HR systems, and employee support.
This position independently manages assigned HR processes and routine employee matters while partnering with more senior HR team members on complex or sensitive issues. The HR Coordinator works directly with employees, managers, staffing partners, and cross-functional teams to address HR needs and ensure HR processes are completed accurately, timely, and in accordance with Company policies and applicable requirements.
The successful candidate is organized, adaptable, and comfortable taking ownership in a fast-paced environment. This role requires good judgment, attention to detail, confidentiality, and the ability to recognize when matters require escalation.
Job Responsibilities:
Recruitment & Talent Acquisition
- Manage recruitment activities for assigned positions, including posting openings, screening candidates, coordinating interviews, and preparing hiring documentation.
- Partner with hiring managers and staffing agencies to understand hiring needs, coordinate candidate activity, and support timely hiring decisions.
- Conduct initial candidate screenings, including experience, qualifications, compensation expectations, work authorization, and availability, as applicable.
- Prepare and track Personnel Action Forms (PAFs), offer documentation, and required hiring approvals.
- Maintain recruitment records, candidate pipelines, and hiring metrics and provide status updates on open requisitions.
Onboarding, Offboarding & Employee Lifecycle
- Independently coordinate onboarding activities, including new hire documentation, orientation, system access, equipment, and badge coordination.
- Serve as an HR point of contact for new employees and respond to routine questions regarding Company policies, programs, and procedures.
- Coordinate and process approved employee changes, including transfers, promotions, compensation, department or reporting changes, and other personnel actions.
- Coordinate offboarding activities, including required documentation, system access removal, return of Company assets, and coordination with applicable departments.
- Support involuntary termination processes and related documentation as assigned.
- Maintain accurate and complete personnel files and HR records in accordance with Company policies and record retention requirements.
Employee Relations & HR Support
- Provide guidance to employees and managers regarding routine HR policies, procedures, programs, and employee matters.
- Address routine employee questions and concerns and assist with resolving issues within established Company policies and procedures.
- Support employee relations matters by gathering information, reviewing documentation, documenting concerns, participating in employee and witness interviews, and coordinating follow-up actions.
- Support workplace investigations, attendance issues, employee complaints, policy violations, disciplinary documentation, and termination processes, escalating complex or sensitive matters to more senior HR team members as appropriate.
- Prepare documentation and summaries related to employee relations matters for review, as appropriate.
- Maintain appropriate confidentiality and documentation of employee matters.
- Support employee engagement activities, communications, recognition programs, and other HR initiatives.
HR Operations, Systems & Compliance
- Process and maintain employee data in HRIS, timekeeping, and other HR systems, ensuring accuracy and data integrity.
- Prepare and maintain HR reports and workforce metrics, including headcount, attendance, turnover, overtime, and recruitment activity.
- Support payroll and timekeeping administration by reviewing records, identifying discrepancies, and coordinating corrections.
- Coordinate employee leave documentation and maintain accurate leave and attendance records as assigned.
- Support benefits administration by assisting employees with routine questions, documentation, and coordination with appropriate resources.
- Coordinate required training programs, track completion, and maintain accurate training records.
- Support HR audits, I-9/E-Verify processes, personnel file reviews, and other compliance activities.
- Monitor HR documentation and processes for completeness and adherence to Company policies and applicable requirements, escalating potential concerns as appropriate.
- Identify and recommend opportunities to improve HR processes, documentation, tracking tools, and administrative efficiency.
- Handle confidential and sensitive employee information with professionalism and discretion.
- Perform other related duties as assigned.
Qualifications:
- Bachelor's degree in Human Resources, Business Administration, or a related field, or an equivalent combination of education and experience.
- 3–5 years of progressive Human Resources experience, preferably including recruitment, onboarding/offboarding, employee relations support, HR administration, and compliance.
- Demonstrated ability to independently manage assigned HR processes and multiple priorities with limited supervision.
- Working knowledge of HR practices, employee relations, employee lifecycle administration, and confidentiality requirements.
- Experience supporting employee relations matters, workplace investigations, disciplinary documentation, and HR compliance activities.
- Ability to apply established HR policies and procedures to routine situations and recognize when matters require escalation.
- Experience with HRIS platforms (ADP preferred), applicant tracking systems, timekeeping systems, and Microsoft Office applications.
- Strong organizational, communication, interpersonal, problem-solving, and decision-making skills.
- Strong attention to detail and ability to maintain accurate records and documentation.
- Ability to handle sensitive and confidential information with professionalism, discretion, and sound judgment.
- Adaptable and resourceful, with the ability to manage changing priorities in a fast-paced environment.
- Experience in a manufacturing or industrial environment preferred.
- Additional language skills, such as Vietnamese or Mandarin Chinese, are a plus.
- HR certification such as PHR, SHRM-CP, or equivalent is a plus.
Pay Range: $28/hour - $33.65/hour
