The Secretary, Cancer Treatment Center serves as the heart of communication exchange for the department; they are the cancer team’s first and last impression with the patient and family members. With courtesy and compassion in support of patients and family members they are responsible for creating initial patient interaction, managing wait time, and preserving, organizing, and maintaining patient health records. Additionally, they are responsible for the administrative efficiency and effectiveness of the department.

Required Qualifications:

  • High school graduate or equivalent
  • Medical secretary experience/knowledge sufficient to communicate/work effectively with patients and hospital staff
  • Computer skills
  • Ability to maintain a level of competency during periods of crisis or stress
  • Fluent in English

Preferred Qualifications:

  • Microsoft Word
  • Microsoft Excel
  • Medical terminology

Duties and Responsibilities:

  • Coordinate clinical reception area:
  • Schedule test as instructed by Physician and other healthcare professionals.
  • Coordinate patient care with staff and/other departments.
  • Maintain clinic schedules.
  • Monitor incoming telephone reception and appropriate routing of telephone calls.
  • Distribute incoming and outgoing correspondence.
  • Maintain and order administrative supplies as needed.

Documentation:

  • Generate new patient departmental chart.
  • Maintain patient departmental chart (filing medical reports/transcription).
  • Maintain meeting minutes.
     

Billing:

  • Assist with charge capture.

Patient registration:

  • Registration and re-registration into electronic medical records (department/hospital).

Communication:

  • Provides clear, concise information to patients.
  • Effectively communicates with staff.
  • Each employee is responsible for implementing SJRMC’s Service Standards into their daily work:

Safety, Courtesy, Effectiveness, and Stewardship

  • Other duties as assigned

Physical Demands and Environmental Work Conditions:

Physical Activities:

  • All Cancer Center jobs may require lifting / pushing / pulling varying weights may exceed two hundred (200) pounds.
  • Activities may include intermittent or prolonged: standing, walking, sitting, talking, hearing, pushing, pulling, stooping, kneeling, crouching, reaching with arms and using the hands to handle or feel.
  • Repetitive motions may also be required, such as: wrist / hand movements, grasping, and finger dexterity (as in typing, writing, etc.).
     

Work Environment:

  • The job requires exposure to the following conditions: working near moving or mechanical parts, risk of electrical shock.
  • The noise level may vary from quiet to very loud.

Sensory Requirements:
Hearing:

  • Must be able to hear alarms on equipment, fire alarms, and overhead announcements.
  • Patients/families verbal discussions.
  • Instructions/feedback from other healthcare providers.
     

Vision:

  • Must be able to see and focus on close-up and distant objects.
  • Distinguish colors.
  • Have intact: peripheral vision.
  • Depth perception: judge distance and spatial relationships
