Job Description:

Essential Duties and Responsibilities 

The Sales Administrator reports to the Inside Sales Manager and oversees the management of sales leads, supporting both residential and commercial services. This role is crucial in ensuring that leads are effectively routed, tracked, and worked on, while also assisting in closing opportunities beyond the initial sales cycle. By efficiently assigning technician-generated leads and inbound opportunities to Outside Sales representatives, the Sales Administrator enhances Outside Sales productivity. Collaboration with Inside Sales, Outside Sales, and Operations is essential to ensure a seamless process from lead generation to service completion. 

Key Responsibilities: 

Lead Management & Routing: 

  • Manage all inbound and technician-generated leads within the CRM. 

  • Assign leads to the appropriate Outside Sales representatives based on territory and availability. 

  • Ensure timely scheduling of leads for inspections with Outside Sales. 

  • Monitor lead status to prevent missed or delayed opportunities. 

  • Maintain customer records in CRM systems.  

  • Coordinate with other departments (e.g., Routing, Delivery, Outside Sales, Finance). 

Outside Sales Schedule Support: 

  • Schedule sales appointments for Outside Sales representatives. 

  • Optimize daily schedules by maintaining consistent lead flow and minimizing gaps. 

  • Reassign leads as necessary to maintain efficiency. 

  • Prioritize high-value or time-sensitive opportunities. 

General Administrative Tasks: 

  • Maintain sales records and reports.  

  • Assist with sales team meetings and presentations 

  • Follow up with customers to ensure satisfaction and identify opportunities 

Qualifications and Education Requirements 

  • Minimum of 2 years in administrative, sales support, or lead coordination roles. 

  • High school diploma or equivalent required. 

  • Experience in sales support or administrative roles is highly desirable. 

Required Skills 

  • Strong organizational and time management skills. 

  • Excellent written and verbal communication abilities. 

  • Customer-focused approach with problem-solving skills. 

  • Proficient in CRM systems (e.g., Salesforce), Microsoft Office Suite, and relevant software. 

  • High attention to detail and ability to manage multiple priorities. 

Preferred Skills 

  • Experience with CRM Fieldster/Pest Routes.  

  • Knowledge in the Pest Control Industry 

  • Associate or bachelor’s degree in business, marketing, communications, or related field (or equivalent experience).  

  • Familiarity with working cross-functionally with Sales, Marketing, and Operations.  

  • Experience with scorecards, dashboards, or metrics tracking. 

Physical Requirements 

  • Stationary Work: Frequent sitting at a desk and using computers, phones, and office equipment. 

  • Manual Dexterity: Regular use of hands for typing, filing, and operating office machinery. 

  • Mobility: Occasional walking, reaching, bending, and squatting. 

  • Sensory Requirements: Clear speaking and hearing for phone and in-person communication, along with visual acuity to view screens. 

  • Ability to lift office supplies, files, or light equipment, usually within 10–20 lbs, though some specialized roles require higher capacity.
