Position Details:

As part of the Clinical Administration  team, you will report to Senior Staff Associate. You will play a critical role in supporting clinicians, patients, and families throughout the treatment process by providing administrative functions. Your contributions will help create a seamless experience for patients and their families while supporting clinicians in delivering high-quality psychopharmacological care. This is an non-exempt, full-time, fully on-site position located in the San Francisco Bay Area (San Mateo). The in-office requirement and schedule are subject to change based on the needs of the program and the organization.


You Will:

  • Provide a high-quality patient experience for families receiving care at Child Mind Institute.

  • Manage clinicians' calendars ensuring efficiency of clinical time and schedule appointments in the electronic medical records (EMR) system.

  • Facilitate the flow of phone and email communication between clinicians and patients.

  • Collect initial patient information, perform intakes and coordinate services.

  • Check in patient appointments and process daily billing through the EMR system.

  • Maintain accurate and updated patient records.

  • Follow HIPAA guidelines and strictly protect personal health information.

  • Manage prescription requests through the prescription inbox working closely with pharmacies and insurance companies to ensure accuracy.

  • Handle prior authorizations and appeals for medication requests.

  • Provide psychopharmacology support coverage for additional team members as needed.


You Have:

  • 2+ or more years of administrative or office experience required.

  • High school diploma or GED required.

Pay Range

The salary range for the position is posted. Factors such as candidate's work experience, education/training, job-related skills, internal peer equity, as well as market and business considerations affect the salary offered within this range. In addition, this salary may be subject to a geographic adjustment (according to a specific city and state and depending on the role), if an authorization is granted to work outside of the location listed in this posting.
