Summary:

 

The Receptionist is responsible for greeting all visitors and managing day-to-day communications on a variety of fronts.

Duties and Responsibilities:

 

  1. Greets visitors to the community in a prompt and gracious manner. Determines the purpose of the visit, contacts the appropriate party, and makes the visitor comfortable while they wait.

 

             2.Answers and directs all incoming phone calls to the appropriate person and/or takes and distributes messages promptly and accurately.

  1. Respond to any residential living pendant calls, document time and reason for calls.

 

             4. Manages incoming and outbound mail, accepts and logs packages and notifies recipients of package receipt. Assists residents and employees with outbound packages/ express mail and assists with               tracking if needed. 

  1. Assist residents with copies and fax transmissions.

 

  1. Accepts and communicates transportation requests and follows up to ensure that they are fulfilled.

 

  1. Gains thorough knowledge of emergency procedures and alarm systems and acts as the point of contact throughout emergency situations until relieved of this duty.

 

  1. Accepts, documents, and distributes maintenance work requests from residents and employees and follows up to ensure they are responded to in a timely manner.

 

  1. Maintains contact information for residents, employees, local attractions, and emergency organizations in an organized manner. Maintains resident “Off Premises” log.

 

  1. Maintains accurate key logs as required for housekeeping, maintenance, and vehicles.

 

  1. Assists the business manager with administrative tasks as assigned.
  2.  Attends training courses and participates in other professional development activities as required.

           13.Assists with light housekeeping duties and conduct rounding on premises.

           14. Performs receptionist duties in the healthcare center as assigned by the department manager

           15.  Assists with special projects that are assigned by department managers and prioritize and complete projects in a timely manner. Abides by the standards and practices as set forth in the Corporate Code   of Conduct.                     

           16. Adheres to the Organizations Policies and Procedures covering Privacy and Security in Compliance with HIPAA regulations.

  1. Other Duties and Responsibilities as assigned. 

 

Knowledge and Skill:

 

           1.Must have excellent verbal skills and communication abilities.

            Ability to work effectively within a team-based environment.

  1. Strong time management and organizational skills.
  2. Must have excellent computer skills, including Word, Excel, Outlook, and Power Point. 
  3. Ability to efficiently operate all functions of the property telephone system.

            






















            6. Thorough understanding of various alarm systems used in the community.













 


Qualifications:

 

            1. Must be able to clearly and proficiently communicate with people of all ages, while maintaining an energetic and positive attitude.

            Clear, pleasant telephone voice.

  1. Must be able to read and write English and follow verbal and written instructions.
  2. Ability to work flexible hours including weekends and evenings.
  3. High school diploma or college education strongly preferred.
  4. Ability to handle stressful situations while maintaining a calm, efficient demeanor. 

Mental and Physical Requirements: 

  1. Requires ability to stand and walk short and long distances for extended periods.
  2.  Must be able to lift and/or carry objects more than 25 pounds.

             3.Requires reaching above, below, and at shoulder length.

            4.Ability to remain calm and positive in stressful situations.
