The purpose of our distinctive programs is to help children develop discipline, a standard of excellence, and a belief in themselves that will carry over into all aspects of their lives.    Purpose of Artistic Administrative Assistant Role:  The Artistic Administrative Assistant is responsible for administering certain aspects of NDI New Mexico’s artistic programs. The Artistic Administrative Assistant is responsible to the Manager of Arts Administration for carrying out the mission and the policies of NDI New Mexico with excellence and is a member of the organization’s Artistic Administrative Staff.   Primary Responsibilities:  Dance Barns Administration  With direction and guidance from Dance Barns Program Producer and Artistic Director, supports administrative duties as needed for all Dance Barns after-school and summer programs and associated events and activities, including, but not limited to: registration, student account management, payment processing, attendance, and maintenance of records    Provide customer service and handle communication with families and staff under the guidance of the Producer  Box Office and House Management support for Dance Barns performances as needed   Assist with inventory and sales of dancewear and shoes out of Dance Barns office  Other administrative duties as needed     Santa Fe and North Outreach Administration   Supports Santa Fe and North Program Producer and Artistic Directors with administrative duties as needed for all artistic programs and associated events and activities, including, but not limited to: organizing materials for meetings, data entry, and administration of Advance Teams under the guidance of the Manager of Arts Administration  Provide customer service and handle communication with Advanced Team families and staff during the school year and summer programs as needed, under the guidance of the Associate Director of Outreach Programs  Assist with Santa Fe End-of-Year Event ticketing, preparation and box office sales  Assist the administration of and attend all rehearsals of the North End-of-Year event week  Participate in the Santa End-of-Year Event as a runner for the Advanced Teams  Other administrative duties as needed                           General Artistic Administration  Other administrative duties as needed                           General Duties:  Maintains regular office hours as requested by the Manager of Arts Administration  Utilizes and maintains standardized procedures, forms, and templates  Attends all staff meetings and joint staff meetings   Upholds all Management and HR policies and procedures  Other duties as needed    Working Conditions, Environment and Physical Requirements:  Functions performed in a variety of environments including: NDI New Mexico offices, schools, residency sites, and other locations  Requires reliable transportation and reimbursable in-state travel to NDI New Mexico locations, participating schools, residency sites, and community events    Requires weekend and evening hours  May be required to lift up to 25 lbs.  May be required to navigate stairs    Knowledge, Skills, and Abilities Required:    Job Specific Requirements:    Excellent computer skills required in MS Office Suite; skills preferred in Salesforce, and/or other data base programs  Ability to learn quickly on the job in database, ticketing, and accounting programs  Excellent customer service skills and ability to remain calm under pressure  Solves problems by identifying causes, gathering and processing relevant information, generating possible solutions, making recommendations, and resolving problems  Requires 1-3 years in job related duties  Bi-lingual (Spanish) preferred    Core NDI New Mexico Employee Requirements:  Believes in the mission of the organization  Strives for excellence in this job with a “Can Do” attitude  Ability to work with people of all backgrounds and ages  Highly organized, detail-oriented and result driven  Ability to prioritize work and multi-task to meet priorities  Supports teamwork and collaboration by demonstrating strong interpersonal skills  Communicates effectively through clear speaking, writing and effective listening  Behaves respectfully, ethically and with personal integrity  Operates in a fiscally responsible manner  Demonstrates adaptability through a willingness to be flexible and versatile in a changing work environment while maintaining effectiveness and efficiency  Professional appearance and telephone manner  Qualifications Able to Work this schedule Tuesday- Saturday 9:30am-6pm. Summer Schedule Monday-Friday 9:30am-6pm Experience in customer service and handling communication with families, staff, children or the public Excellent computer skills in Microsoft Office Suite   Reliable transportation for in-state travel Ability to work evenings and weekends Preferred Bilingual but not required
