About the Role:

The Unit Coordinator plays a pivotal role in ensuring the smooth and efficient operation of a healthcare unit by managing administrative and clerical tasks that support clinical staff and patient care. This position serves as the central communication hub, coordinating between medical personnel, patients, and external departments to facilitate timely and accurate information flow. The Unit Coordinator is responsible for maintaining patient records, scheduling appointments, and managing unit supplies, which directly impacts the quality of care delivered. By effectively organizing unit activities and supporting healthcare providers, the Unit Coordinator helps create a structured environment that enhances patient outcomes and staff productivity. This role requires a detail-oriented and proactive individual who can multitask and prioritize in a fast-paced healthcare setting while maintaining professionalism and confidentiality.

Minimum Qualifications:

  • High school diploma or equivalent required; Associate’s degree or higher in healthcare administration or related field preferred.
  • Previous experience in a healthcare setting, preferably in a unit coordinator, medical secretary, or administrative support role.
  • Proficiency with electronic health records (EHR) systems and standard office software (e.g., Microsoft Office Suite).
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent communication skills, both verbal and written, with a focus on professionalism and confidentiality.

Preferred Qualifications:

  • Certification as a Unit Coordinator or Medical Administrative Assistant is advantageous.
  • Experience working in a hospital or clinical environment with knowledge of medical terminology.
  • Familiarity with healthcare compliance standards such as HIPAA.
  • Ability to use specialized scheduling and inventory management software.
  • Demonstrated problem-solving skills and the ability to work collaboratively within a multidisciplinary team.

Responsibilities:

  • Manage daily administrative operations of the healthcare unit, including patient admissions, discharges, and transfers.
  • Serve as the primary point of contact for communication between nursing staff, physicians, patients, and other departments.
  • Maintain accurate and up-to-date patient records and documentation in compliance with healthcare regulations and policies.
  • Coordinate scheduling for patient appointments, procedures, and staff meetings to optimize unit workflow.
  • Order and maintain inventory of medical and office supplies to ensure the unit is adequately stocked.
  • Assist with billing and insurance documentation as needed to support the financial processes of the unit.
  • Respond promptly to inquiries and provide information to patients and families with professionalism and empathy.
  • Support the implementation of unit policies and procedures to maintain a safe and efficient work environment.
