Summary
 
The Facilities Maintenance Manager is responsible for planning, directing, and overseeing the maintenance, repair, safety, and overall functionality of all facilities across a large multi-location medical practice. This role ensures that all buildings, grounds, equipment, and building systems are maintained in a safe, efficient, and compliant manner while supporting high-quality patient care and operational excellence.


The Facilities Maintenance Manager leads maintenance staff, coordinates contractors and vendors, manages preventative maintenance programs, oversees facility improvement projects, and ensures compliance with healthcare regulations and accreditation standards.


Essential Duties and Responsibilities

Facilities Operations

● Manage the day-to-day maintenance and operation of multiple clinic and administrative locations.

● Develop and implement preventative maintenance programs for all facilities and building systems.

● Ensure all facilities remain clean, safe, functional, and aesthetically maintained.

● Prioritize and respond to maintenance requests in a timely manner.

● Coordinate emergency repairs and after-hours response when necessary.

● Conduct regular inspections of facilities to identify maintenance needs and safety concerns.

 

Building Systems

Oversee maintenance and repair of:

● HVAC systems

● Electrical systems

● Plumbing

● Lighting

● Roofing

● Doors, windows, and hardware

● Medical office furnishings

● Flooring and interior finishes

● Parking lots, sidewalks, and exterior structures 

● Irrigation and landscaping 

● Security systems 

● Fire alarm and suppression systems 

● Backup generators and emergency equipment Regulatory 


Compliance & Safety 

● Ensure compliance with OSHA, Life Safety Code, ADA, local building codes, and applicable healthcare regulations.

● Maintain required inspection records and documentation.

● Coordinate routine inspections, testing, and certifications.

● Assist with emergency preparedness planning and facility safety initiatives.

● Participate in Environment of Care and Safety Committee meetings as assigned.

 

Vendor & Contractor Management

● Obtain bids and negotiate contracts for facility services.

● Manage relationships with maintenance vendors, contractors, and service providers.

● Monitor vendor performance and ensure work meets quality standards.

● Coordinate construction, renovation, and remodeling projects with minimal disruption to patient care.

 

Budget & Asset Management

● Develop and manage the facilities maintenance budget.

● Monitor expenditures and identify cost-saving opportunities.

● Recommend capital improvements and equipment replacements.

● Maintain inventory of maintenance supplies, tools, and equipment.

 

Leadership

● Supervise and develop maintenance technicians and facility support staff.

● Schedule work assignments and ensure timely completion of projects.

● Conduct performance evaluations and provide coaching and training.

● Foster a culture of accountability, safety, customer service, and continuous improvement.

 

Customer Service

● Partner with practice leadership and department managers to address facility needs.

● Maintain a high level of responsiveness to internal customers while minimizing operational disruptions.

● Support new clinic openings, relocations, and expansion projects.

 

Qualifications 
 

Education and/or Experience

Education

● Bachelor’s degree in Facilities Management, Construction Management, Engineering, Business Administration, or a related field preferred.

● Equivalent combination of education and relevant experience may be considered.


Experience

● Five to seven years of progressively responsible facilities maintenance experience required.

● Minimum of three years of supervisory or management experience.

● Experience managing multiple facilities preferred.

● Healthcare or medical practice facilities experience strongly preferred.

 

Knowledge, Skills, and Abilities

● Thorough knowledge of building systems, maintenance operations, and preventative maintenance practices.

● Working knowledge of OSHA regulations, healthcare safety standards, and building codes.

● Strong project management and organizational skills.

● Ability to manage multiple priorities across numerous locations.

● Experience with budgeting and vendor management.

● Strong leadership, communication, and interpersonal skills.

● Proficiency with computerized maintenance management systems (CMMS) and Microsoft Office applications.

● Ability to analyze problems, develop solutions, and make sound decisions.

● Ability to read blueprints, construction documents, and technical manuals.


Physical Requirements

● Ability to walk and stand for extended periods.

● Frequent travel between practice locations.

● Ability to lift up to 50 pounds.

● Ability to climb ladders, work in mechanical spaces, and perform facility inspections.

● Ability to respond to emergencies outside normal business hours as needed.
