Monitor system to ensure timely payment, and accurate allocation of expenditures. Communicates appropriately with vendors to ensure timeliness and accuracy of all invoices and statements as directed. Provide support to the CFO and team during general ledger reconciliation for preparation of financial statements each month. Completes Accounts Receivable functions, including deposits and other reconciliation work as directed. Works as part of a team to ensure the work flow is timely. Review and enter hours worked bi-weekly into payroll data system and conduct regular employee maintenance on system to ensure accuracy. Verification of accuracy of all timesheets and appropriate approvals. Communicate with time Managers to resolve payroll issues/concerns as needed. Verify payroll reports from Payroll Company to ensure complete accuracy of payroll on a timely basis. Allocation of payroll by cost center based on labor distribution reports. Timely posting of payroll to the GL, ensuring accurate budget comparison reports. Calculate and accrue month-end payroll. Completion of and verification of accuracy for all employee wage and benefits related documents, including but not limited to hire forms, W-2’s, and pay rate affidavit. Responsible for accurate accrual of vacation, sick and personal time as well as proper calculation and monitoring of time used based on policy and cross checking to payroll system. Verify accuracy of all tax related documents, including but not limited to 941’s, 945’s, 1099’s, EFTPS, and SUTA (NYS-45’s). QualificationsRequirements Associate’s Degree in Accounting required, Bachelor’s Degree preferred. A minimum of (3) years’ experience in a not-for profit accounting office. Demonstrated computer experience working with accounting and spreadsheet software with FUND E-Z and Excel preferred. Demonstrated verbal and written communication skills and ability to work as part of a team. Knowledge of generally accepted accounting principles and use of internal controls and Uniform Guidance. Able to handle sensitive, confidential data in a professional manner. Experienced in a fast-paced environment and ability to interact on various levels with management, outside consultants and fiscal representatives from various state and federal offices. Knowledge and understanding of issues related to individuals and families in poverty.
