Job Description: Warehouse Workflow Coordinator

Position Summary

The Warehouse Workflow Coordinator is responsible for designing, optimizing, and enforcing warehouse workflows to ensure operational efficiency, inventory accuracy, and scalability. This role uses data-driven insights to improve material flow, eliminate inefficiencies, and maintain strict adherence to company processes. The coordinator plays a critical role in ensuring all warehouse activities are executed accurately within the ERP system and aligned with company goals.

Key Responsibilities

1. Continuous Improvement (Logistics Architecture)

  • Design and continuously refine picking paths, bin organization, and material handling workflows.
  • Develop, document, and enforce SOPs and Work Instructions (WIs).
  • Drive process improvements to increase efficiency and reduce waste.

2. Data Analytics (Inventory & Flow Review)

  • Analyze ERP data to monitor inventory accuracy, stock levels, and picking velocity.
  • Conduct and validate cycle counts to ensure system-to-physical alignment.
  • Identify trends and provide actionable recommendations to improve inventory flow.


3. Problem Solving (CAPA Root Cause Analysis)

  • Lead Corrective and Preventive Action (CAPA) initiatives for warehouse-related issues.
  • Investigate and resolve systemic logistics failures, including recurring shortages and damaged inbound freight.
  • Implement corrective actions and monitor effectiveness to prevent recurrence.

4. Supply Chain (Vendor Escalation)

  • Utilize CAPA data to support escalation of vendor and purchasing issues related to material failures.
  • Collaborate with internal teams to ensure supplier accountability and resolution of upstream issues.
  • Track and report supplier performance impacting warehouse operations.

5. Talent Management & Enforcement

  • Provide data-driven recommendations for hiring, performance management, and disciplinary actions.
  • Enforce adherence to workflows, SOPs, and company policies across all warehouse personnel.
  • Monitor workforce performance and escalate issues when standards are not met.
  • Ensure all employees are trained and compliant with operational requirements.

6. Operations (Capacity Planning)

  • Forecast warehouse space, labor, and equipment needs based on production schedules.
  • Adjust workflows and staffing coordination to align with demand.
  • Identify and escalate capacity constraints proactively.

7. System Compliance & Execution

  • Ensure all warehouse personnel accurately task in and task out of NetSuite for all assigned work.
  • Enforce real-time ERP usage and data accuracy across all warehouse operations.
  • Audit system transactions to ensure alignment with physical inventory and workflow execution.
  • Hold team members accountable for compliance with system and process requirements.

8. Leadership (Strategic Alignment)

  • Ensure warehouse workflows scale to support company revenue and growth targets.
  • Drive consistency, accountability, and standardization across warehouse operations.
  • Act as a liaison between warehouse staff and leadership to ensure alignment with organizational priorities.

Qualifications

  • Bachelor’s or Associate degree in Supply Chain Management, Logistics, Business Administration, or a related field
    (GED plus extensive relevant experience may be considered in lieu of a degree)
  • Experience in warehouse operations, logistics coordination, or process improvement
  • Strong analytical and problem-solving skills
  • Experience with ERP systems (NetSuite preferred)
  • Proven ability to enforce processes and drive accountability
  • Strong organizational and communication skills
