Team Overview
The Cvent Coordinator builds and manages Cvent registration sites, mobile apps, and onsite registration for Alliance Defending Freedom's events, owning the full site lifecycle from planning and branding through launch and live maintenance. This role also serves as the primary point of contact for Cvent training, troubleshooting, and data integrity. The ideal candidate is detail-oriented, thrives under multiple deadlines, and is eager to grow within the Cvent platform.
Key Responsibilities
- Serve as primary builder and subject-matter expert for Cvent Registration, OnArrival (onsite), and Attendee Hub (mobile app), managing 100+ registration sites and 10+ event apps annually
- Act as liaison between Event Coordinators, stakeholders, and the Cvent build process, leading planning meetings to gather event requirements and build dynamic, multi-track/multi-session registration sites (i.e., capturing attendee data, session/meal selections, lodging and travel needs, and payment where applicable)
- Manage attendee communications and promotional outreach tailored to each event's timeline and audience
- Design event reporting to support evaluation and strategic decision-making
- Develop and manage project timelines across multiple simultaneous events, proactively flagging risks and delays
- Train Event Coordinators and broader ADF staff on core site/app functionality, and develop supporting training resources
- Maintain integrity and organization of all Cvent event data, including reporting on mobile app analytics and usage
- Research new Cvent functionality and recommend process improvements
Minimum Qualifications
- 2+ years of experience building Cvent registration, event app, and onsite registration sites
- Strong project and time management skills, with the ability to run multiple builds at different stages simultaneously
- Excellent written, verbal, and interpersonal communication across team members, vendors, and event guests
Preferred Qualifications
- Cvent certifications (Event Management, Event Management Advanced)
- Bachelor's degree
- Strong grasp of branding, design workflow, and stakeholder management
