Position Summary
The Payroll Specialist is a full-time, experienced payroll professional responsible for ensuring the accurate and timely processing of multi-company, multi-state payrolls. This role supports all payroll cycles, maintains compliance with applicable federal and state regulations, and provides reliable payroll-related data to support the workforce. The Payroll Specialist works collaboratively as part of a cross-trained payroll team.

Compensation: Attractive annual salary range of $60,000 – $65,000, plus a performance-based bonus. Comprehensive benefits package includes medical, dental, and vision insurance, 401(k) with company match, and additional benefits.
Key Responsibilities
- Process assigned portions of payroll activities, including importing, auditing, editing, processing, and transmitting wages, deductions, reimbursements, bonuses, commissions, and manual payments in compliance with federal and state wage and hour laws.
- Partner with the Payroll Manager to ensure accurate and timely payroll processing and associate file maintenance to meet weekly payroll deadlines.
- Audit new hire records to ensure accuracy related to pay, tax, and banking information.
- Set up and administer direct deposit, including collecting and validating banking information.
- Manage historical edits and payouts for unreported or adjusted hours.
- Administer the wage garnishment process in coordination with third-party vendors (e.g., ADP).
- Respond to and process employment verifications, wage verifications, medical support notices, subpoenas for pay records, and other payroll-related inquiries.
- Pull reports from the 401(k) provider and process applicable transactions within the payroll system.
- Prepare and process PTO accruals, insurance deduction changes, and other employee pay or personnel updates for payroll system imports.
- Maintain organized backup records of weekly payroll data and employee file changes for each company.
- Participate in cross-functional payroll team responsibilities with ongoing training to ensure coverage and consistency across the team.
- Follow all corporate and site-specific Good Manufacturing Practices (GMPs) and report any observed noncompliance.
- Observe all company safety rules and assist in their enforcement, as appropriate.
- Perform other payroll-related duties as assigned by the Payroll Manager.
Minimum Qualifications
- High school diploma
- Minimum of 2 years of payroll processing experience
- Experience working with payroll processing systems
- Strong attention to detail with excellent analytical and critical thinking skills
- Demonstrated understanding of payroll best practices and accounting fundamentals
- Working knowledge of federal and state payroll laws and regulations
- Strong organizational and mathematical skills
- Proficiency in Microsoft Excel
Preferred Qualifications
- Experience with ADP Enterprise and E-Time payroll systems
- Associate’s degree in Business or a related field
- Experience processing multi-state and/or multi-company payrolls
- Prior experience working in a team-based, cross-trained payroll environment
