Job Summary:

The Commercial Administrative Assistant provides administrative and office support to the Commercial Department, working closely with the Commercial General Manager, Estimator, and Office Manager to ensure smooth daily operations and organized project workflows.

This role serves as a primary administrative contact for the commercial office, handling phone communications, documentation, scheduling support, project files, and coordination with subcontractors, vendors, and internal teams. The position is focused on keeping the commercial operation organized, responsive, and running efficiently.

An organized, customer-focused professional with strong administrative skills and exceptional attention to detail. The ideal candidate is comfortable answering phones, managing multiple priorities, and supporting leadership teams in a fast-paced commercial environment. Strong communication skills, professionalism, and the ability to effectively multitask, manage complex schedules, and meet changing deadlines are essential to this role.

Education and Experience:

  • High school diploma or equivalent required, Associate’s degree preferred
  • At least two years of administrative and clerical experience required.
  • Experience in commercial construction or related industry preferred

Essential functions:

Administrative & Office Support

  • Answer and direct incoming phone calls for the Commercial Department in a professional and timely manner
  • Serve as an administrative support resource for the Commercial General Manager, Estimator, and Office Manager
  • Manage calendars, scheduling, and meeting coordination as needed
  • Maintain organized electronic and physical project files and documentation
  • Assist with preparing reports, correspondence, and project documentation

Project & Commercial Support

  • Assist with scheduling subcontractors, vendors, and construction activities
  • Support procurement of materials and coordination of deliveries
  • Draft and process subcontracts, purchase orders, and change orders
  • Assist with permit and license applications as required
  • Review subcontractor and vendor pay requisitions for accuracy and completeness
  • Complete and submit required reports, logs, and project documentation
  • Support internal project kick-offs, meetings, brainstorming sessions, and debriefs
  • Communicate with customers, subcontractors, vendors, and internal teams regarding schedules, documentation, and project needs
  • Identify and communicate design issues, material delays, or scheduling concerns promptly
  • Assist in tracking project progress to support on-time and on-budget completion

General Support

  • Collaborate with cross-functional teams to support overall project success
  • Maintain professionalism and strong customer service standards
  • Stay informed on departmental processes and assist with continuous improvement efforts
  • Perform additional administrative and operational duties as assigned

  • Strong organizational and multitasking abilities
  • Excellent attention to detail and documentation accuracy
  • Professional phone etiquette and customer service skills
  • Strong verbal and written communication skills
  • Ability to work collaboratively in a team environment
  • Self-motivated with the ability to manage changing priorities
  • Proficiency in Microsoft Office and office technology systems
  • Prior experience in commercial or construction environments preferred

Work environment

  • Majority of work is completed indoors.
  • May, on occasion, be exposed to the outdoors.

Physical demands

  • Must be able to remain in a stationary position approximately 95% of the time.
  • May need to move technology weighing up to 50 pounds
