People & Culture Coordinator
Location: Coast Seattle Downtown Hotel By APA / Coast Hotels USA Corporate Office
Reports To: Director of People & Culture / General Manager
Department: People & Culture (Human Resources)
Position Summary
The People & Culture Coordinator plays a key role in supporting the overall success of Coast Hotels by providing exceptional administrative and operational support to both the property and corporate People & Culture teams. This position helps create a positive Ambassador experience through the delivery of human resources programs, recruitment support, onboarding, employee engagement initiatives, and day-to-day People & Culture administration.
The People & Culture Coordinator serves as a trusted resource for Ambassadors by promoting Coast Hotels' values, fostering a culture of accountability and inclusion, and supporting initiatives that contribute to Ambassador satisfaction, engagement, and organizational success.
Key Responsibilities
Ambassador Support & Employee Experience
- Serve as a visible and accessible point of contact for Ambassadors, providing support, guidance, and assistance with People & Culture inquiries.
- Foster positive working relationships and help create an engaging, inclusive, and service-oriented workplace environment.
- Support Ambassador recognition, wellness, engagement, health and safety, and other employee experience initiatives.
- Assist with communication and implementation of People & Culture programs, policies, and practices.
Human Resources Administration
- Coordinate and process a variety of confidential human resources transactions, including new hire onboarding, benefits administration, compensation changes, transfers, promotions, and separations.
- Maintain accurate and complete Ambassador files and human resources records.
- Ensure the integrity of employee data within HRIS systems by performing regular audits, updates, and follow-up on future-dated actions.
- Prepare, distribute, and maintain employment-related documentation and correspondence.
Recruitment & Onboarding
- Support recruitment efforts by posting vacancies, screening applicants, scheduling interviews, participating in interviews as requested, conducting reference checks, and preparing employment offers.
- Coordinate and facilitate onboarding activities to ensure a welcoming and effective new hire experience.
- Assist hiring managers throughout the recruitment and selection process to ensure compliance with company standards and procedures.
Reporting & Compliance
- Generate reports and analyze People & Culture metrics as requested.
- Monitor progress on People & Culture initiatives and programs and provide updates to leadership.
- Assist in maintaining compliance with applicable employment legislation, company policies, and internal processes.
- Support audits, investigations, and reporting requirements as needed.
Administrative & Team Support
- Prepare meeting agendas, take meeting minutes, and coordinate follow-up actions.
- Draft correspondence, format reports and presentations, and assist with internal communications.
- Manage incoming calls, emails, and inquiries in a professional and timely manner.
- Provide administrative support to the People & Culture team and assist with special projects as assigned.
Performance Expectations
The People & Culture Coordinator is expected to:
- Maintain accurate and confidential employee records and HRIS data.
- Deliver timely and professional support to Ambassadors and leaders.
- Complete assigned human resources transactions accurately and in accordance with established timelines.
- Support recruitment, engagement, onboarding, and compliance initiatives with a high level of attention to detail.
- Demonstrate professionalism, discretion, and sound judgment when handling confidential information.
- Contribute to a collaborative, service-focused, and accountable workplace culture.
Qualifications
- Previous experience in Human Resources, People & Culture, or hospitality administration.
- Diploma or degree in Human Resources, Business Administration, or a related field preferred.
- Experience working with HRIS platforms; experience with Ceridian Dayforce is considered an asset.
- Knowledge of applicable employment legislation and human resources practices.
- Hospitality industry experience is considered an asset.
- Advanced proficiency with Microsoft Office Suite, including Excel.
- Strong organizational, time management, and prioritization skills.
- Exceptional attention to detail and accuracy.
- Demonstrated ability to maintain confidentiality and exercise discretion.
- Strong interpersonal, communication, and customer service skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
