This role contributes to REI’s success by providing executive level administrative support to Stores leaders at the Vice President (VP) and Divisional Vice Presidents (DVP) levels. Serves leaders in various administrative and operational capacities, allowing leaders to remain focused on critical strategic initiatives.

This is a hybrid role that requires you to live within 150 miles of the Seattle area to be periodically onsite at the Issaquah office, as well as travel to off-site locations (as the business requires).Â
Â
- Acts as the primary point of contact for internal and external stakeholders.
- Drafts and edits business documents, including emails, memos, reports, and presentations that reflect the leader(s) voice and tone.
- Supports leader(s) internal and divisional communication plans, ensuring that enterprise information is communicated effectively.
- Plans and manages logistics and materials for meetings, events, off-sites, and other engagements.
- Attends key meetings with leader(s), takes accurate notes, distributes, and follows up on action items as needed.
- Prepares leader(s) for meetings by organizing materials and ensuring deliverables are on track.
- Provides divisional support, including event planning, stewardship coordination, Signature Award program support, and resource management (e.g., org charts, email distribution lists, SharePoint).
- Supports strategic initiatives and special projects by tracking milestones, deliverables, and follow-ups.
- Conducts research and analyzes data to support leader decision-making and reporting.
- Executes financial activities such as expense management, invoice processing, cost center reconciliation, and forecasting.
- Partners with HRBP to support leader(s) in HR led programs, including headcount tracking, talent reviews, performance review cycle, etc.
- Pursues process improvements to create efficiencies within department/division
- Manages and prioritizes calendars for their assigned leaders, including scheduling meetings, appointments and proactively managing conflicts.
- Makes travel arrangements, including building itineraries, booking transportation and lodging, and expense reporting, etc.
- Handles sensitive and confidential information with discretion.
- Interacts and represents REI on behalf of their supported leaders with internal and external contacts
Responsibilities and Qualifications
- 5+ years of administrative support experience, including previous experience supporting corporate senior level management and/or executives.
- Exceptional organizational and time management skills with the ability to multitask effectively.
- Demonstrates a high level of professionalism, confidentiality, and discretion in handling sensitive information.
- Ability to work independently and manage multiple priorities with minimal supervision.
- Strong attention to detail with the ability to deliver work within established deadlines.
- Excellent interpersonal skills and the ability to build relationships at all levels of an organization.
- Strong proficiency in MS Office Suite, including Outlook, Word, Excel, PowerPoint and SharePoint
- Experience leveraging AI‑enabled productivity tools (e.g., Microsoft 365 Copilot or similar) to improve overall work efficiency, quality, and effectiveness.
- Ability to manage calendars, travel, and expenses, for multiple leadersÂ
- Demonstrates effective problem solving, decision making, and critical thinking.
- Works smart by setting effective work goals, establishing priorities, and planning well in order to produce quality work.
- Executes effectively by using resources efficiently, meeting deadlines, and keeping others informed of work plans and progress toward goals.
