Position Summary

The Inventory Clerk is responsible for maintaining accurate vehicle inventory records from the time a vehicle arrives at the dealership until it is sold or transferred. This position ensures all new and used vehicles are entered into the dealership management system (DMS), assigned stock numbers, tracked accurately, and maintained in compliance with dealership policies. The Inventory Clerk works closely with Sales, Accounting, Service, and Management to ensure inventory records remain complete and accurate.

Essential Duties and Responsibilities

  • Assign stock numbers to all new, used, dealer trade, wholesale, and direct purchase vehicles.
  • Maintain an accurate inventory log for all dealership vehicles.
  • Enter all vehicle information into the dealership management system (DMS) and other inventory tracking systems.
  • Create and prepare inventory jackets for all incoming vehicles.
  • Verify all required vehicle information, including VIN, model, color, options, cost, and vehicle status.
  • Process vehicle inventory transactions, including dealer trades, transfers, wholesale purchases, and direct purchases.
  • Monitor inventory for accuracy and reconcile discrepancies with Accounting and Sales.
  • Ensure all inventory records are updated promptly as vehicles are received, sold, transferred, wholesaled, or otherwise removed from inventory.
  • Assist with maintaining accurate floorplan and inventory schedules.
  • Coordinate with the Service and Detail Departments to ensure vehicles move through the reconditioning process efficiently.
  • Work with the Sales Department to ensure vehicles are available for sale and properly represented in inventory systems.
  • Maintain electronic and physical inventory files in an organized manner.
  • Assist with inventory audits and physical inventory counts.
  • Report inventory discrepancies or missing information to the Controller promptly.
  • Maintain manufacturer and dealership inventory standards and procedures.
  • Assist with special projects and other administrative duties as assigned by the Controller or Management.
  • Cross-train with other administrative staff to ensure department coverage when needed.
  • Represent the dealership professionally when interacting with customers, vendors, manufacturers, and business partners.
  • Maintain a clean, organized, and professional work area.

Qualifications

  • Previous automotive dealership experience preferred.
  • Inventory, title, accounting, or administrative experience in an automotive dealership is strongly preferred.
  • High school diploma or equivalent.
  • Strong organizational and time management skills.
  • Excellent attention to detail and accuracy.
  • Ability to manage multiple tasks and meet deadlines in a fast-paced environment.
  • Working knowledge of dealership management systems (Dealertrack, Tekion, CDK, Reynolds & Reynolds, or similar) is preferred.
  • Proficiency with Microsoft Office, including Excel and Outlook.
  • Strong communication and customer service skills.
  • Ability to work independently and as part of a team.
  • Valid driver's license with an acceptable driving record.

Physical Requirements

  • Ability to sit or stand for extended periods.
  • Ability to lift up to 25 pounds occasionally.
  • Ability to walk the dealership lot as needed to verify inventory.
  • Ability to operate standard office equipment, including computers, scanners, printers, and copiers.

Working Conditions

This position works primarily in an office environment with regular interaction in the dealership lot, service drive, and sales departments. The Inventory Clerk must be able to adapt to changing priorities while maintaining a high level of accuracy and professionalism.
