Essential Responsibilities
  • Coordinate complex customer projects from quote through execution and completion.
  • Prepare, review, and process quotes, sales orders, change orders, invoices, and project documentation.
  • Support project startup activities including compliance documentation, vendor setup requirements, waivers, customer forms, and purchasing requirements.
  • Create and manage supplier purchase orders while partnering with sourcing and procurement teams to meet project needs.
  • Maintain visibility of active projects and communicate status, risks, delays, and action items to internal and external stakeholders.
  • Coordinate with sales representatives, project managers, operations teams, logistics partners, and technical resources to ensure project success.
  • Track equipment, materials, shipments, deliveries, and project milestones.
  • Support billing activities, project invoicing requirements, and customer-specific billing processes.
  • Manage customer documentation, compliance records, signed field service documentation, and project files in accordance with company requirements.
  • Monitor project backlogs and open action items to ensure commitments are met.
  • Maintain accurate customer, project, and order information within CRM and ERP systems.
  • Serve as a central point of coordination for issue resolution, escalating concerns when appropriate and recommending solutions.
  • Identify opportunities to improve project workflows, reduce rework, standardize processes, and improve customer outcomes.
  • Support continuous improvement initiatives by analyzing trends, performance metrics, and recurring issues.
  • Provide thorough, complete, and professional communication to customers and internal teams.
  • Maintain reliable attendance and follow company time-off and notification procedures. 

Preferred Qualifications
  • Bachelor’s degree in Business, or a related field or equivalent work experience that provides exposure to fundamental theories, principles, and concepts.
  • Experience supporting project-based operations, customer service, order management, procurement, logistics, construction support, rental operations, or industrial services preferred.
  • Experience working with ERP, CRM, procurement, or project management systems preferred.
  • Strong organizational and project coordination skills.
  • Ability to manage multiple projects and priorities simultaneously.
  • Strong written and verbal communication skills.
  • Ability to work independently and take ownership of assigned responsibilities.
  • Strong problem-solving and decision-making skills.
  • Ability to collaborate effectively across sales, operations, finance, procurement, logistics, and technical teams.
  • Excellent attention to detail and documentation management.
  • Knowledge of purchasing, invoicing, compliance documentation, or project administration processes preferred.
  • Continuous improvement mindset with a focus on customer experience and operational excellence.


Salary:

The estimated salary range for this position is $32.00- $43.00.   Starting pay is dependent on multiple factors, such as skills, experience and work location, and is not typically at the top of the range. At Xylem we offer a competitive compensation package with a generous benefit package, including Medical, Dental, Vision plans, 401(k) with company contribution, paid time off, paid parental leave and tuition reimbursement.
