Position Summary
The Service Dispatcher is the coordination point between the Service Advisor and the technician team. This role receives completed repair orders, assigns them to the appropriate technician based on skill level, certification, and current workload, and manages the flow of work through the shop so jobs move efficiently from write-up to completion. The Dispatcher does not diagnose or repair units but owns the scheduling logic that determines who works on what, and when.
Essential Duties & Responsibilities
  • Receive repair orders from Service Advisors and assign to technicians based on skill level, certification, bay/lift availability, and current workload.
  • Maintain and manage the shop dispatch board/queue (physical or DMS-based) so job status is visible and accurate in real time.
  • Review each RO for completeness — complaint, cause, and correction fields — before releasing to a technician.
  • Monitor job progress throughout the day; flag jobs running behind schedule and reassign or escalate as needed.
  • Communicate time and cost estimate changes to the Service Advisor promptly so the customer can be updated.
  • Coordinate with the Parts department to confirm part availability before dispatching jobs that require them, and follow up on backorders holding up a bay.
  • Prioritize and manage comebacks and warranty repairs to ensure prompt attention and manufacturer compliance.
  • Coordinate with porters/lot staff on safe, efficient movement of RVs in and out of the shop and between bays.
  • Perform or confirm quality control checks before a unit is marked ready for pickup or delivery.
  • Maintain an accurate, up-to-date repair log and punch-time records for labor accounting.
  • Attend factory and company training on new models, technical bulletins, and warranty procedures as required.
  • Support closing of repair orders once work is verified complete.
Requirements & Qualifications
  • High school diploma or equivalent required; post-secondary trade school training a plus.
  • 1–2+ years in a dealership service department (RV, automotive, marine, or powersports) in a dispatch, advisor support, or shop coordination role preferred.
  • Working knowledge of RV systems and technician skill tiers sufficient to match jobs to the right tech — does not need to perform repairs.
  • Strong organizational skills; comfortable managing a high volume of moving jobs at once under time pressure.
  • Clear, professional communicator — will be the daily go-between for Advisors, Technicians, and Parts.
  • Basic math proficiency for time/labor calculations and job costing.
  • Comfortable with DMS/shop management software (e.g., ADP, Dealertrack, or equivalent); will train on CIRV systems.
  • Valid driver's license in good standing (may be required to move/spot units).
