The Surgical Coordinator and WC/PIP Liaison is a full-time, non-exempt (hourly) position at the Center for the Functional Restoration of the Spine (CFRS). CFRS is an Ortho-Spine specialty practice with clinical sites in Shrewsbury, Toms River, and Edison, New Jersey.

CFRS differentiates itself through its complex revision case load and the use of robotics in the operating room, significantly improving patient surgical outcomes compared to traditional approaches. The practice has demonstrated reductions in patient length of stay, benefiting both patients and insurance carriers in total reimbursements. In addition, services include onsite X-ray, epidural injections, facet injections, SI joint injections, trigger point injections, radiofrequency ablation (RFA), and fracture care.

 The Surgical Coordinator and WC/PIP Liaison plays a vital role in the practice. This individual is responsible for coordinating surgical procedures from preoperative consultations through postoperative follow-ups. The role includes scheduling surgeries, liaising with insurance providers, ensuring patients understand the surgical process, and coordinating care for Workers’ Compensation and Motor Vehicle Accident patients, including communication with attorneys, investigators, case managers, and other healthcare professionals.

Responsibilities (including but not limited to):

  • Schedule and coordinate surgeries; liaise with surgeons and gather relevant medical information from patients
  • Coordinate preoperative consultations, including medical and imaging tests
  • Obtain insurance pre-authorizations for surgical procedures
  • Ensure patients understand procedures, risks, and benefits of surgery
  • Prepare surgical consent forms and necessary documentation
  • Assist in management of postoperative care and follow-ups
  • Maintain accurate and up-to-date patient records
  • Coordinate care and maintain contact with Workers’ Compensation and Motor Vehicle Accident patients, attorneys, investigators, case managers, and other healthcare professionals
  • Ensure compliance with HIPAA and OSHA regulations
  • Perform other duties as assigned

Education & Experience Requirements

  • Bachelor’s degree in Healthcare Administration or related field with a minimum of three (3) years of surgical coordination or related experience; or
  • Associate degree in Healthcare Administration or related field with a minimum of five (5) years of surgical coordination or related experience; or
  • High School Diploma or GED with a minimum of seven (7) years of surgical coordination or related experience

 Skills & Qualifications

  • Ability to work collaboratively in an ethnically, linguistically, and culturally diverse environment
  • Prior surgical coordination and Workers’ Compensation/Motor Vehicle Accident experience required; orthopedic spine or orthopedic surgery experience preferred
  • Strong communication skills with patients, healthcare professionals, and insurance representatives
  • Strong organizational skills with ability to manage multiple priorities and deadlines
  • Detail-oriented
  • Strong writing skills
  • Knowledge of medical terminology, surgical procedures, and healthcare regulations
  • Strong knowledge of ICD-10 and CPT codes
  • Proficiency in medical practice management software (e.g., Athena, Cerner, ECW, Epic) and electronic health records
  • Working knowledge of office equipment (fax, copier, scanner)
  • Advanced word processing skills
  • Proficiency in Windows environment and Microsoft Office Suite (Word, Excel, PowerPoint, Teams)
  • Excellent interpersonal skills and professional telephone presence
  • Ability to handle confidential information with sensitivity and accuracy
  • Ability to lift up to 25 pounds
  • Ability to sit, stand, walk, use a computer and telephone for prolonged periods
  • Fluency in Spanish preferred
