OVERVIEW OF THE POSITION:
The Administrative Assistant to Auxiliary Programs provides support in the Stingers Squad office around all duties related to the running of Kindergarten-8th grade Stingers Squad before and after school programs, Stingers Unplugged break camps, clubs, and summer camps. Also works directly with Stingers Squad Teachers ensuring class activities are created and followed through, providing the student with a great experience. This position directly supports the Business Manager of Auxiliary Programming.
RESPONSIBILITIES:Â Â
- Check and respond promptly to the three Auxiliary Programming email inboxes, flagging items requiring attention of Business Manager.
- Ensure presence in office during hours.
- Answer phones
- Present to answer Stingers Squad door and facilitate student dismissal
- Check and promptly respond to voicemail
- Provide support for Kindergarten – 8th grade Auxiliary Programming.
- Assist teachers/camp counselors to ensure activities are planned for students and that they are leading the activity and interacting with the students.
- Prepare daily absentee list of club students to be posted for vendors.
- Assist with transitioning students to and dismissal from clubs/camps, including ensuring that students are picked up.
- Order and maintain equipment inventory (Walkie Talkies, iPads, emergency bags, classroom supplies, games, etc.).
- Under direction of Business Manager, assist with rosters, CampBrain updates/registrations, attendance, and vendor documentation/communication, as needed.
- Record drop-ins, late departures, and other billing-related items for Controller to use for billing.
- Create signs, flyers, and newsletters for Auxiliary Programming events and offerings.
- Prepare for staff meetings, including preparing agenda and printed materials, as requested by Head of Auxiliary Programming and/or Business Manager.
- Assist with tracking staff absences, birthdays, and contact information.
- Must maintain confidentiality of student and school matters.
- Comply with conditions as stated in employee agreement and handbook.

QUALIFICATIONS:Â
- Bachelor’s degree from an accredited college or equivalent work experience is a must.Â
- Minimum of 2-3 years of admin support.
- Ability to listen and problem-solve; a people person.
- Not afraid to make and carry out difficult decisions, yet with a people-friendly approach.
- Must be a team player yet also able to work independently and be a self-starter.
- Excellent written and oral communication skills
- Processes driven in ensuring high efficiency.
- Strong computer skills with basic working knowledge of Microsoft applications (Word, Excel, PowerPoint, etc.) and the ability to learn new software programs.
- Must be comfortable working in a fast-paced environment where team members are given general direction at times and expected to figure out the details.
- Superior time management skills and the ability to consistently meet deadlines and be flexible.
- Reliable and timely.
- Ability to remain flexible and adapt to rapidly changing demands and needs that occur in a busy school environment.
- Extremely discrete and trustworthy. Maintains confidence and protects operations by keeping student and school information confidential.
