Job Description
 

Job Title:  Staffing Specialist 

Department:  Finance 

Reports to:  Payroll Manager


Position Summary: Responsible for being main point of contact for employees at assigned customers. The employee in this role will be responsible for onboarding and hours collection and either payroll or immigration tasks. 

General purpose: Timely, accurate, and compliant onboarding and collection of hours for employees. 


Role Qualifications:


  • Must prioritize and plan work activities using time efficiently and develop realistic action plans 
  • Must demonstrate accuracy and thoroughness and monitor own work to ensure quality 
  • Must adapt to changes in environment, manage competing demands and is able to deal with frequent change, delays or unexpected events 
  • Ability to understand customer contract requirements    
  • Ability to prepare organized, accurate onboarding packets that are compliant with customer requirements and follow established Epitec processes with limited supervision  
  • Excellent writing and organizational skills required  


Position Responsibilities:


  • Onboard and employees following Epitec and Customer requirements 
  • Respond to and assist with various I-9 and E-Verify issues  
  • Maintain highly organized employee files  
  • Interact with various outside entities, including but not limited to clients, background companies, drug testing companies, and governmental agencies 
  • Understand, explain and document and complex Customer contract requirements  
  • Collaborate with Finance, Compliance, HR, IT, Sales, and Recruiting to address employee issues pertaining to employees/candidates 
  • Send out email reminders to field consultants that are missing hours from Epilink.  
  • Make follow up phone calls to field consultants to determine if they worked or not. 
  • Complete various hour tie outs with client system data to confirm hour’s logged match the Epilink system. 
  • Collect approved timesheets for employees who do not use a client system 
  • Performs other duties as required and assigned.


Essential skills and experience:


  • Bachelor’s degree in Human Resources, Accounting, Finance, or Business Administration fields 
  • Problem solving - identifies and resolves problems in a timely manner 
  • Oral communication skills - speaks clearly and persuasively in positive or negative situations 
  • Interpersonal skills - maintains confidentiality and remains open to others ideas and exhibits willingness to try new things 
  • Written communications skills - edits work for spelling and grammar presents numerical data effectively and can read and interpret written information 
  • Strong attention to detail with ability to multi-task  
  • Highly proficient with Microsoft Office programs  
  • Time management and organizational skills are essential to effectively handle the high volume of cases that will be assigned.  
  • Dedicated to providing exceptional customer and employee service.  
  • Detailed-oriented and able to work in a fast-paced environment. 


Valued but not required skills and experience: 

  • Customer service experience 
  • Experience in fast paced work environment 
  • Above average competency in Microsoft word and excel
