Position Overview
At CP Engineers, we value employees who embody our core values of teamwork, recognition, and integrity. As an Office Administrator / Executive Assistant, you will support daily operations across our Sparta and Parsippany offices while providing administrative support to leadership.

This role combines office administration, executive support, project coordination, and employee engagement responsibilities. The ideal candidate is highly organized, proactive, and professional, with the ability to manage multiple priorities while helping maintain a productive, welcoming, and employee-focused work environment.

Responsibilities

  • Oversee day-to-day office operations to maintain an organized and professional workplace
  • Manage office supplies, vendor relationships, facilities coordination, and office logistics
  • Handle incoming and outgoing mail, deliveries, and shipping
  • Professionally greet clients, visitors, and vendors while serving as the first point of contact for the office
  • Answer and direct incoming calls and inquiries
  • Coordinate calendars, meetings, travel arrangements, and executive scheduling
  • Prepare, format, and edit reports, presentations, correspondence, and other business documents
  • Maintain organized electronic and physical filing systems
  • Support project teams with proposal preparation, document formatting, submission packages, and project documentation
  • Assist with onboarding and other HR-related administrative activities
  • Support employee events, recognition programs, team-building activities, and office gatherings
  • Assist with marketing initiatives, presentations, proposals, and company events
  • Identify opportunities to improve office processes and efficiency
  • Maintain confidentiality and professionalism when handling sensitive information

Compensation: $30-$41/hour

  • Associate's or Bachelor's degree preferred, or a combination of relevant education and experience
  • 3-5+ years of experience in office administration, executive support, office management, or a related role
  • Advanced proficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint, and Teams
  • Strong organizational, communication, and time management skills
  • Ability to manage multiple priorities with exceptional attention to detail
  • Professional demeanor with strong interpersonal and customer service skills
  • Ability to handle confidential information with discretion
  • Experience in an engineering, architecture, construction, or professional services environment preferred
  • Experience with Adobe Acrobat, SharePoint, or Deltek Ajera preferred
