Position Overview 

The Estate Planning Signing Paralegal plays a critical role in the final stage of the estate planning process. This position is responsible for guiding clients through their document signing appointments, ensuring accuracy and completeness of all legal documents, and facilitating a seamless transition from drafting to finalized plan. 

This role requires a strong attention to detail, excellent client communication skills, and the ability to collaborate closely with attorneys and the production team to maintain the firm’s high standards. 

Key Responsibilities 

Client Signing & Experience 

  • Meet with clients to review, explain, and oversee the signing of estate planning documents  
  • Notarize documents in compliance with applicable laws and firm policies  
  • Ensure clients fully understand their documents and address questions or concerns with professionalism and care  
  • Verify all information for accuracy prior to signing  

Document Review & Quality Control 

  • Review, proofread, and fact-check legal documents for accuracy, consistency, and completeness  
  • Ensure documents align with attorney notes and client objectives  
  • Identify discrepancies and provide clear, actionable feedback to the production team  
  • Confirm that trust provisions and legal language accurately reflect client intent and are legally sound  

Post-Signing Processing 

  • Process executed documents in accordance with firm procedures  
  • Prepare and organize final document packages, including scanning and creating properly labeled PDFs with signature pages  
  • Ensure all documents are complete, executed correctly, and ready for final delivery  

Team Collaboration & Communication 

  • Communicate completion of signings and document processing to appropriate team members  
  • Collaborate with attorneys to confirm all necessary documents are included and properly prepared  
  • Participate in team meetings and contribute to continuous improvement efforts  
  • Support team members and assist in cross-functional tasks as needed  

Client Care & Firm Representation 

  • Deliver a high-touch, client-focused experience that reflects the firm’s values  
  • Maintain a positive, professional, and empathetic demeanor in all client and team interactions  
  • Identify opportunities to provide additional support or connect clients with appropriate internal or external resources  

 

Qualifications 

Education & Experience 

  • High School Diploma required  
  • Paralegal certificate strongly preferred  
  • Priority will be given to candidates with experience in estate planning or elder law  

Skills & Competencies 

  • Exceptional attention to detail and commitment to accuracy  
  • Strong written and verbal communication skills  
  • Highly organized with the ability to manage multiple priorities  
  • Client-focused mindset with excellent interpersonal skills  
  • Ability to understand and work with legal terminology and concepts

  • Ability to maintain confidentiality and handle sensitive information with discretion
