Culinary Depot is seeking a highly organized and detail-oriented Construction Billing Administrator to support our commercial construction and contract sales projects.

This role requires someone who is excellent at gathering information, staying organized and prepared, following up with multiple people, and ensuring billing is submitted accurately and on time. The right candidate is proactive, persistent, and comfortable managing multiple projects and deadlines at once.

Responsibilities

  • Gather and organize documents and information needed for construction and AIA billing.
  • Prepare and submit AIA payment applications, progress billings, invoices, and retainage requests.
  • Coordinate with Project Managers, Sales, Accounting, warehouse personnel, customers, and General Contractors to obtain required information.
  • Track contracts, change orders, payments, retainage, lien waivers, and compliance documents.
  • Maintain organized project files and stay ahead of billing deadlines and outstanding requirements.
  • Follow up on missing documents, approvals, and outstanding payments.
  • Submit billing and required documentation through customer and GC portals.
  • Assist with project financial closeout and final billing.

Qualifications

  • Experience with construction billing, AIA billing, progress billing, contract administration, or construction accounts receivable preferred.
  • Extremely organized, detail-oriented, and prepared.
  • Strong follow-up skills and the ability to gather information from multiple people and departments.
  • Ability to manage multiple projects, deadlines, and priorities.
  • Strong communication and administrative skills.
  • Experience with Procore, Textura, NetSuite, or similar construction/accounting systems is a plus.
