Overview

The Executive Office Manager oversees and coordinates the daily operations of the executive office, ensuring organizational effectiveness, efficiency, and alignment with organizational objectives. This role provides administrative, operational, and project support to executive leadership and governing bodies as assigned.

 

The Executive Office Manager serves as a key point of contact for internal and external stakeholders, facilitates communication across departments and leadership teams, and supports executive, board, and organizational initiatives.

Qualifications

Education:

  • Bachelor’s degree in business or health related field is preferred.

 

Licensure/Certification/Registry:

  • N/A

 

 Experience:

  • Five (5) years of experience in office management, executive assistant, executive office support, or related administrative role.

 

Other Knowledge/Skills/Abilities:

  • Knowledge of office management systems, procedures, and business operations.
  • Excellent organizational and time management skills with the ability to prioritize competing demands.
  • Proficiency in Microsoft Office Suite and other business software applications.
  • Strong verbal, written, and interpersonal communication skills.
  • Demonstrated attention to detail and critical thinking skills.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Ability to work effectively with executives, board members, physicians, leaders, staff, and community stakeholders.

Responsibilities

  • Provides administrative and executive support to assigned executive leadership team members.
  • Manages executive calendars, schedules, appointments, meeting requests, and travel arrangements.
  • Coordinates activities and provides administrative support for governing boards, committees, councils, and leadership meetings as assigned.
  • Prepares and distributes meeting materials, agendas, minutes, presentations, reports, and other executive communications.
  • Maintains board management systems and communication platforms, as applicable.
  • Coordinates communications among executive leadership, department leaders, physicians, staff, board members, and external stakeholders.
  • Serves as a liaison between executive leadership and various organizational departments.
  • Ensures administrative policies, procedures, and office practices are followed and recommends process improvements to enhance efficiency.
  • Prepares correspondence, reports, presentations, briefing materials, and other documents on behalf of executive leadership.
  • Conducts research, collects data, and prepares information for executive decision-making and strategic initiatives.
  • Assists with the management and organization of legal, regulatory, accreditation, policy, and governance documents.
  • Plans, coordinates, and supports executive meetings, leadership retreats, board meetings, conferences, special events, and organizational functions.
  • Coordinates meeting logistics, including facilities, technology, catering, and related arrangements.
  • Monitors project timelines, tracks action items, and provides follow-up support for executive and organizational initiatives.
  • Supports organizational responses to surveys, audits, regulatory reviews, and accreditation activities as assigned.
  • Serves as a primary point of contact for matters pertaining to the executive office.
  • Handles confidential and sensitive information with professionalism, discretion, and integrity.
  • Fosters positive working relationships and demonstrates behaviors consistent with the organization's mission, vision, values, and service standards.
  • Performs other duties and responsibilities as assigned.
