Job Description: Operations Coordinator

Summary/Objective
The Operations Coordinator plays a critical role in supporting the day-to-day execution of operational and administrative functions across the organization. This position is responsible for coordinating order entry, procurement support, compliance tracking, and project documentation while ensuring accuracy, organization, and timely follow-through. The role serves as a key point of coordination between sales, operations, and manufacturing teams, helping maintain efficient workflows and clear communication. This position supports the VP of Operations by executing tasks, tracking priorities, and escalating key decisions as needed.

Essential Functions
  • Provide day-to-day coordination support to the VP of Operations
  • Monitor task progress, follow up on open items, and ensure deadlines are met across departments
  • Escalate issues, delays, or key decisions requiring leadership input
  • Ensure accuracy, timeliness, and completeness of all data and documentation within assigned processes
  • Be the gatekeeper to receive accepted quotes and PO’s from customers and salespeople, then enter new orders into the accounting software. After supervisor review, send tank order confirmations to the customer who ordered the tank and/or parts.
  • Support material procurement by issuing RFQs to vendors, compiling and analyzing pricing, and preparing award recommendations
  • Generate and distribute purchase orders upon approval
  • Track material receipts from manufacturing facilities and ensure timely system updates and order closure
  • Maintain organized records of inspection reports (e.g., crane, air permits, fire systems) for all manufacturing locations
  • Track safety program requirements and deadlines
  • Maintain Safety Data Sheet (SDS) documentation and ensure accessibility and accuracy
  • Compile and prepare preliminary OSHA Forms 300 and 300A for leadership review.
  • Make tank order file updates as directed during fabrication, then scan and upload project file to accounting program when order is completed.
  • Make quarterly updates to production backlog reports as directed.
  • Create tank sales statistic data as directed.
  • Maintain E-broadcast contact data spreadsheet.
  • Create warranty certificates, coordinate mill certificates with PO’s, and provide O&M documents for industrial tanks and large projects.

Work Environment
Professional office environment.  This position requires competency in using standard office equipment and software such as Microsoft Word and Excel.  Familiarity with ERP systems and/or willingness to learn.

Classification/Expected Hours of Employment
This position is a full-time position and is exempt from minimum wage and overtime pay requirements under federal and all applicable state or local laws.  There will be limited travel needed to build relationships with the team and to better understand our operations.

Required Education and Experience
  • Experience in a coordination role supporting production or project execution
  • Demonstrated ability to manage tasks, schedules, and workflows across multiple projects or departments
  • Strong organizational skills with a track record of accuracy, following through on priorities, and holding teams and outside parties accountable to deadlines
  • Not required but preferred - Familiarity with production scheduling, procurement, job tracking, and/or ERP systems
