Testing Center Coordinator / Office Coordinator
Department: Center for Student Success
Job Status: Full-time/Staff/ (10 month/42-week)
Work Schedule: Monday – Friday
Reports to: Director of the Center for Student Success
Amount of Travel Required: As needed (minimal)
Positions Supervised: Student Workers
PURPOSE: Oversee the daily operations of the Testing Center, including ensuring security of exams; Supervise the student employees of the Testing Center; serve as initial contact in the department to determine what assistance is needed; Maintain departmental budget and records; Hire and supervise student staff; Assist full-time staff and faculty; Maintain calendars; Assist in all areas to provide excellent service to students, parents, employers, faculty and staff.
RESPONSIBILITIES:
- Maintaining the Testing Center as the primary location for testing services on campus
- Administering exams and instructions to students
- Administering exams to students that are not taking traditional undergraduate exams (I.e., DSST, CPCE, etc.)
- Ensuring security and confidentiality on all aspects of the exam administration process (acquisition, storage, proctoring, delivery, etc.)
- Maintaining a professional atmosphere in the Testing Center
- Coordinating with faculty for the timely delivery of exams
- Researching best practices and potential updates to the Testing Center and its services
- Updating current handbooks and guidelines for students and faculty
- Maintaining accurate records of the usage of the Testing Center services via Excel and Access
- Manage the front office, greet and provide information and assistance to students, parents, employers, faculty, staff and guests.
- Exercise sound judgement in addressing student questions and concerns related to all areas of Student Success (Academic Support, Career Services, Honors, Retention, and Strengths).
- Manage department budgets
- Assist in calculating, monitoring and maintaining the CSS budget, budget files, revenues and expenditures.
- Prepare and process check requisitions, journal entries, pre and post travel forms, and invoices for payment; and review credit card purchases through the online banking website.
- Assist in preparing proposed budget for the next fiscal year.
- Assist Valor Scholars Coordinator as needed
- Maintain accurate minutes for VSA Committee meetings
- Coordinate logistics and serve as co-host for VSA events
- Perform audit of student records each semester to ensure criterion are met for VSA program
- Schedule appointments and actively maintain calendars for all aspects of departmental involvement (minimum of eight calendars), including:
- Full-time faculty and staff calendars o Student-staff scheduling
- Testing Center appointments
- Plan, organize, and execute departmental functions and events.
- Make event scheduling reservations through EMS for the Center for Student Success, and EU Scholars program.
- Supervise 14+ student staff (includes work-study and tutors).
- Organize and delegate projects and tasks.
- Approve hours bi-weekly on ADP.
- Serve as a liaison between Evangel and Gallup to update annual contract, troubleshoot questions/issues with website, etc.
- Manage departmental projects as needed
- Maintain departmental records, including student files, usage statistics, and other pertinent records
- Perform routine office management functions including:
- Handle administrative details, requiring initiative and sound judgement.
- Oversee maintenance of office computers and printers and arranging for repair or services when needed.
- Input course schedules for spring, summer, and fall terms in CAMS.
- Approve requests and maintain the department conference room schedule through EMS and Microsoft Outlook Calendar.
- Maintain office supplies: inventory, order, etc.
- Use computer and online programs for office organization and administration: including Microsoft Office, CAMS, ADP, EMS, Course Commons, the Hub, Setmore, College Central, StrengthsQuest Operating Software, Canva, etc.
- Complete other duties as requested by department chair.
POSITION QUALIFICATIONS:
- Active Christian faith, disciplined life, and support for the beliefs of the Assemblies of God and Evangel University.
- Understanding and appreciation of the liberal arts.
- Excellent oral and written communication skills.
- A pleasant personality with strong customer service skills and the ability to relate well and interact appropriately with faculty, staff, students, parents, alumni and employers.
- Ability to handle personal and confidential information with integrity.
- Able to plan strategically and resolve issues.
- Able to coordinate student staff (work-study and campus employment/tutors).
- Extensive use of MS Office computer programs (Outlook, Word, Excel, Publisher, and PowerPoint).
- Experience in using the computer programs listed above with accuracy and speed.
- Must be self-motivated and able to take initiative and work independently on tasks.
- Excellent organizational skills
- Detail-oriented with the ability to prioritize among multiple tasks.
- Basic knowledge of bookkeeping.
- Excellent spelling, punctuation, and grammar skills.
- Willingness to maintain a professional demeanor and punctual and consistent attendance.
EDUCATIONAL QUALIFICATIONS:
- High School diploma with some college experience.
