Job Description
The Human Resources Administrative Assistant provides hands‑on administrative and operational support to the HR team, with a primary focus on managing day‑to‑day HR tasks and employee requests. This role owns entry‑level and administrative HR responsibilities, allowing HR leadership to focus on strategic initiatives, compliance, and employee relations.
This position is ideal for someone early in their HR career who is detail‑oriented, proactive, and comfortable working independently in a practical, fast‑moving environment.
Responsibilities
- Maintain and update employee personnel files, HR systems, and documentation with accuracy and confidentiality.
- Handle routine employee inquiries and administrative HR requests independently, escalating as needed.
- Support recruiting and onboarding activities, including interview scheduling, reference checks, paperwork preparation, and orientation coordination.
- Track employee training, certifications, and compliance documentation to ensure requirements are met.
- Independently complete tasks requiring coordination across departments or locations, such as collecting signatures or HR paperwork without daily supervision.
- Assist with seasonal workforce administration, staffing agency coordination, and internal HR programs such as employee recognition and milestone tracking.

Additional Skills & Qualifications
- Provide hands-on HR administrative support, including maintaining employee records, filing, documentation, and responding to routine employee inquiries with minimal supervision.
- Support recruiting and onboarding activities by coordinating interviews, completing reference checks, preparing paperwork, scheduling orientations, and assisting with new-hire setup and safety gear.
- Track and maintain training, certifications, compliance documentation, and HR reporting to ensure state, federal, and company requirements are met.
- Independently complete tasks that require initiative across departments and locations, such as collecting signatures, paperwork, and HR materials without daily direction.
- Assist with seasonal workforce administration, staffing agency coordination, and internal HR programs such as employee milestones and recognition initiatives.
- Partner closely with HR leadership to reduce administrative workload and support the smooth onboarding of a new HR Manager.
Work Environment
This on-site, full-time role is based in a small, hands-on HR team supporting a manufacturing environment. The schedule is Monday–Friday with some flexibility in start and end times, as long as HR coverage aligns with production hours. The work environment offers a collaborative and supportive HR team, providing the opportunity to make an immediate, visible impact and gain practical people-focused HR experience.
Job Type & LocationThis is a Permanent position based out of Saint Paul, OR.
Pay and BenefitsThe pay range for this position is $52000.00 - $55000.00/yr.
