Administrative Coordinator

Excellent communication skills are a must along with a friendly, professional demeanor. The ideal applicant is self-motivated, able to navigate cross-functional teams, and willing to take the lead on ever-evolving responsibilities. The ideal applicant shows excellent leadership and is willing to coach and mentor others with similar tasks and responsibilities.

Hours: 7am - 3:30pm Monday - Friday

Pay range: $25.50 - $28 per hour


Standard Job Responsibilities


Must be able to communicate with a diverse group of people from a variety of departments.

Truck scale bulk responsibilities – paperwork, NBi processing, customer contact, etc.

Prepare documents necessary for manufacturing to fill bulk & bag orders for customers.

Process and file truck loading and unloading paperwork.
Work with transportation and CSR to ensure plant to plant deliveries are timely.

Track and investigate weekly product/shipping shortages.

Track and request ship life extensions – drive inventory changes/transfers on aging product.

Support monthly and annual inventory cycle counts for the site – assign counts to employees weekly.

Assist with company uniforms & composite toe boot ordering process as needed.

Order supplies on an as needed basis (i.e. first aid, safety supplies, office supplies, etc.).

Track office and PPE supplies to mitigate shortages.

Process purchase orders, sales orders, and work orders in NBi.

Answer phones and direct phone calls.

Tag and label management – verification, printing, inventory of needed paper, Sharepoint updates, Brill, etc.

 

 

Additional Responsibilities

 

EEO Responsibilities – I9 processing and onboarding.

New hire safety and quality training and tracking.

Provide leadership and guidance to truck drivers both delivering and receiving.

Box, assemble, and ship ingredients via UPS for sales orders.

Answer office door for visitors and ensure the sign-in log is filled out.

Print drawcards in Brill, send formulas to WEM, and fill out the drawcards with the appropriate data.

Print analysis tags for customer orders and place them with the correct drawcards.

Use the live schedule to prioritize needed paperwork for orders for hand adds and production.

Communicate with production when changes on work orders occur.

Communicate with formulations, CSR, and the schedulers when issues occur and changes in workflow are necessary.

Support cross-functional teams, i.e. shipping, transportation, CSR, quality, and safety.

Cost reduction initiatives – trash, office supplies, energy usage, etc.

Print analysis tags for straight line work orders in NBi.

Proficiency with the MS Office suite of programs. 
Efficient typing and computer skills.
