Summary: This is a key HR role focused on assisting the Museum’s managers with a variety of talent recruitment and acquisition functions. Support includes, but is not limited to, providing subject matter expert strategies to attract, source, evaluate, and hire top job candidates. This includes actively supporting the yearly summer internship program life-cycle. The position serves as the first and primary HR point of contact for employees and the public, and manages the department’s flow of information. This includes department reception, all-staff communication, requisitions and HCM workflows, background checks, job postings, offer letters, etc. This position also serves as the department’s records manager responsible for employee, volunteer, and candidate data, as well as HR process documentation. This position serves as the Wellness + Engagement Program administrator.

Duties and Responsibilities:
Â
Recruiting & Onboarding
- Partner with hiring managers to build a recruiting strategy; prepare and post positions to appropriate outlets to attract top candidates.
- Be a resource and supporting partner for hiring managers based on individual talent recruitment needs. This may include, but is not limited to, filtering through talent pools, job posting plans and recommendations such as wording, where to post, and phone screens when requested.
- Monitor open positions and adjust recruiting strategy if necessary to ensure robust pools of qualified candidates for all positions.
- Work with hiring managers to update job descriptions through job analysis or providing recommendations based on job grade and current institutional needs.
- Work with hiring managers to ensure positions are filled on a timely basis.
- Ensure compliance for onboarding employees, including background and drug screens.
- Conduct New Hire orientation for new employees.
- Support the internship program as requested.
Â
HCM Superuser
- Build and pull reports in the HCM system for data analysis and staff requests
- Train and support new managers, hiring managers, HR staff, and general users in use of HCM system proactively.
- Monitor the HCM system for reliable data and assist other users to ensure best practices are followed consistently.
- As the main point of contact for internal HCM troubleshooting, proactively stay up to date with system enhancements, take advantage of training opportunities and share knowledge with the HR team.

Records Manager
- Accurately enter data in the HCM system regarding employee records, salary changes, or job title changes
- Maintain accurate and legally compliant digital files on all employees and volunteers.
- Manage processing of all personnel actions, such as new hires, transfers, terminations, etc.
- Ensure timely and accurate communication of pertinent information to HR team and other impacted parties.
- Ensure legal compliance with regard to employment authorization through annual I-9 audits and timely processing of I-9s through E-Verify.
- Manage HR functions such as tuition remission benefits, employee referral forms, training compliance records, event schedules, and invoice submission and filing.
- Prepare forms and reports, such as EEO, Wellness program credits, organizational charts, and other ad hoc reports as requested.
- Process unemployment claims.
- Respond to all requests for employment verification and job applicant inquiries.

HR Data Analysis and Process Improvement
- Use Excel and/or Power BI to build visual dashboards to present data findings and provide actionable recommendations.
- Identify areas for process improvement by analyzing records data such as exit interviews, survey responses, and wellness program utilization.
- Build surveys to collect data on employee satisfaction, attendance, and other relevant information.
- Leverage AI and other technology to enhance processes by increasing efficiency and usability.

HR Office Management
- Serve as back-up to Payroll Administrator and Benefits Administrator.
- Advise employees and respond to inquiries concerning the employee handbook, personnel policies, workflows and general procedures.
- Serve as the first point of contact for the HR Department.
- Manage expenses, order necessary items for the department, and process payments via P-Card or check requests.
- Create monthly staff meeting PowerPoint slides in a clear, accurate, and timely manner

Employee Engagement
- Serve as the Wellness + Engagement Program administrator by fielding questions from program users, troubleshooting issues, entering data & reporting, planning and executing events, and participating as an engaged member of the Wellness + Engagement Committee.
- Responsible for HR event planning such as staff service award program, employee appreciation week, volunteer reception, and other HR events as directed.
- Assist with all large-scale HR Department-run events and processes as a member of the Team; Wellness + Engagement committee events, open enrollment, and all other HR initiatives as requested.

Qualifications: Bachelor’s Degree and two years’ experience working in a human resources environment is required or equivalent combination of education and experience. Competency with Microsoft Office, SharePoint, and Microsoft Forms required; and Power BI preferred. Experience in HCM Systems (Dayforce preferred). Must have a general knowledge of laws and processes governing the human resources function.

Excellent organization, multi-tasking, tech-savvy, initiative, and accuracy required. Service-oriented self-starter with business acumen, pleasant and welcoming communication style, with the ability to handle impromptu questions and troubleshoot issues expediently.

Must be able to comfortably work with regular interruptions, troubleshoot issues, serve as department “gatekeeper” as needed, while balancing various administrative tasks with ease and confidence throughout the workday.

Hiring Range:Â $29.81 - $36.52; commensurate with experience
Status: Regular, Full-Time (37.5 hours/week)
