This position is more than basic administrative support. The Referral Coordinator will review case information, track referral status, communicate with clients, attorneys, referral sources, and internal teams, and help ensure matters are handed off smoothly when accepted by the firm or transferred to outside counsel.

• Communicate with referral sources, potential clients, attorneys, intake, and internal teams

• Gather case details, including incident information, injury status, treatment history, insurance information, and relevant deadlines

• Enter and update referral information in the case management system or CRM

• Monitor referral status and ensure timely follow up on open referral matters

• Coordinate attorney review of referred cases when needed

• Assist with case handoffs to intake, case management, litigation, or referral partners

• Maintain accurate referral source information and case notes

• Identify missing information and follow up to complete referral files

• Support outgoing referral coordination when the firm is unable to accept a matter

• Maintain professionalism and confidentiality when handling sensitive client and case information

Requirements

• Prior experience in legal intake, referrals, case coordination, customer service, or administrative support

• Personal injury law firm experience strongly preferred

• Strong written and verbal communication skills

• Ability to manage high-volume follow-up and competing priorities

• Strong attention to detail and accurate data entry skills

• Comfortable communicating with clients, referral partners, attorneys, and internal teams

• Ability to remain professional and calm in sensitive, emotional, or urgent situations

• Experience with case management systems, CRM systems, or intake platforms preferred

• High school diploma or equivalent required

• Associate degree, paralegal certificate, or legal support experience preferred but not required
