Job Description Summary

Responsible for reviewing leased and owned property documents as well as compiling and maintaining critical location data including financial and contractual obligations as part of the lease administration process. This position may be assigned to one or more accounts/clients.

Job Description

EssentialĀ functionsĀ andĀ responsibilitiesĀ 

  • Review, abstract,Ā and/or perform quality control data audits of documents including updating andĀ maintainingĀ all lease information and data in our technology information systems, asĀ requiredĀ 

  • Ensure proper document management measures are followed for all leased,Ā ownedĀ and other associated documents.Ā Ā Maintain file retrieval/storage, scan documents, and open/distribute mailĀ 

  • Review client invoices in conjunction with lease requirements and collect proper supporting back-up documentation from landlords/billing authorities and confirm all calculations are correctĀ 

  • Conduct desktop audits of Year-End Common Area Maintenance (CAM), Insurance, and Real Estate Tax reconciliations, interpret, andĀ analyzeĀ all charges for accuracy,Ā in accordance withĀ lease documents.Ā Directly responsibleĀ for dispute resolution with landlord for any identified discrepanciesĀ Ā 

  • Responsible for ensuring the financial obligations of ourĀ ClientsĀ isĀ accurateĀ and that monthly rents are processedĀ in a timely mannerĀ 

  • Oversee and manage the subtenant process including the recording and collection of monthly rent and the pass-through of invoices and year-end reconciliationsĀ 

  • CommunicateĀ frequentlyĀ with internal and external partners. Notify client of critical dates, real estateĀ policiesĀ and procedures, andĀ assistĀ with general inquiriesĀ 

  • Request and process certificates of insurance as required by the lease documentĀ Ā 

  • Review Estoppels and Subordination Non-Disturbance Agreements (SNDA’s) against the lease termsĀ Ā 

  • Regularly exercises good judgment and logic in responding to leased and owned property inquiries from the clientĀ and/or landlordsĀ 

  • Ensure that productive landlord and subtenant relationships areĀ maintainedĀ in accordance withĀ the lease and sublease agreementsĀ 

  • Establish task priorities and create schedules for portfolioĀ objectivesĀ 

  • Able to manage multiple projects/priorities in a fast-paced environmentĀ 

  • AssistĀ managers withĀ timelyĀ andĀ accurateĀ financial and critical date reports for client presentment,Ā identifyĀ and record savings,Ā identifyĀ exceptions, investigate causes of exceptions, and recommend solutionsĀ 

  • AssistĀ or oversee special projects as requested by the client or leadershipĀ 

  • Partner with the manager and transition team to get new accountsĀ establishedĀ quickly and smoothlyĀ 

  • AssistĀ manager or oversee the creation and continuous updates to process playbooksĀ 

  • Provide guidance and direction to other PortfolioĀ CoordinatorsĀ on various tasks and projectsĀ 

  • Train new associatesĀ 

  • Continuously seek business expansion opportunities with existing clients and develop those opportunitiesĀ 

  • Stay up to date on the latest industry standards and trendsĀ
