Position SummaryÂ
Gray Design Group is seeking a motivated and detail-oriented Project Associate to support the architecture team in the execution and coordination of projects. This role will assist project managers in documentation, scheduling, communication, and quality control to ensure projects are delivered on time and meet firm standards. The ideal candidate is organized, proactive, and comfortable collaborating across teams to support project success.Â

Key ResponsibilitiesÂ
Project Coordination & SupportÂ
- Assist project managers in developing project schedules, deliverables, and documentationÂ
- Coordinate communication among internal teams, consultants, and clientsÂ
- Help maintain project records, including contracts, drawings, and correspondenceÂ
- Support project teams in quality control reviews and model checksÂ
Â
Documentation & ReportingÂ
- Prepare, organize, and distribute project documentationÂ
- Maintain clear documentation of project decisions, meeting notes, and design iterations to ensure transparency and continuityÂ
- Assist in preparing presentations, drawings, and reports for client meetingsÂ
- Ensure proper filing and version control of project files and digital assetsÂ

Team Collaboration & TrainingÂ
- Participate in team meetings and contribute to project planning discussionsÂ
- Support staff onboarding and training in project processes and software toolsÂ
- Assist in implementing firm-wide standards and proceduresÂ
- Actively participate in internal learning sessions, design critiques and cross-team knowledge sharing to foster continuous growthÂ

QualificationsÂ
- Bachelor’s degree in Architecture, Interior Design, or related field preferredÂ
- 1–3 years of experience in architecture or design firms preferredÂ
- Experience supporting project teams and managing documentation is a plusÂ
- Proficiency with Revit, AutoCAD, and Microsoft Office SuiteÂ
- Strong organizational and time-management skillsÂ
- Attention to detail and ability to maintain high-quality deliverablesÂ
- Professional communication and collaboration skillsÂ
- Ability to manage multiple priorities and meet deadlinesÂ
