  • Provide outstanding service in greeting guests, scheduling meetings, and answering calls
  • Proactively assist attorneys in managing their workloads and legal matters
  • Facilitate communication between and among attorneys and HBI's corporate and market personnel
  • Manage intake of legal matters and communicating status updates while proactively managing important deadlines
  • Draft, revise, and proofread agreements, correspondence, and other documents
  • Organize and maintain legal records, agreements, and files
  • Assist with managing contacts, emails, printing, and mail processing
  • Send and track signature pages and original documents
  • Process invoices and attorney reimbursements
  • Complete other projects and tasks as assigned.
Qualifications
  • Education beyond high school, training related to the legal industry, or prior LAA or administrative experience (or a combination of education and experience to meet the requirements of the position)
  • Five+ years of experience in a professional services environment
  • Proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.) (advanced Word proficiency preferred, e.g., bookmarks/cross-references, footnotes, formatting, tables, etc.)
  • Self-motivated, service-oriented, and eager to learn
  • Maintain a high level of discretion and preserve strict confidentiality in handling sensitive information and matters
  • Acts in a professional manner, has a strong work ethic, and high level of dependability and accountability in all tasks
  • Strong team player, skilled at managing projects and coordinating with others to meet deadlines
  • Able to work well under pressure, prioritize tasks, and assist attorneys in prioritizing tasks and deadlines
  • Highly organized and able to manage workflow
  • Able to take ownership of requests and demonstrate strong problem-solving skills
  • Communicate clearly and professionally at all levels and across the organization
