Position Summary

The Facilities & Workforce Programs Supervisor is responsible for maintaining safe, functional, and compliant facilities at 490 Concordia Ave. in St. Paul, MN. This includes preventative maintenance, routine inspections, coordination of repairs, and implementation of required life‑safety codes. In addition, this role supervises two participant workforce programs: the Lawn Care Program and the Janitorial Program. The Supervisor sets daily schedules, monitors performance, provides coaching and feedback, approves timecards, and ensures high‑quality service delivery aligned with Ujamaa Place’s dignity‑forward, trauma‑informed model.

 

Essential Duties & Responsibilities

Facilities Maintenance & Safety 

  • Conduct regular inspections of Ujamaa Place offices, program spaces to ensure safety, cleanliness, efficiency and functionality.
  • Implement preventative maintenance schedule and minor repairs (e.g., lighting, fixtures, equipment, HVAC filters, basic plumbing).
  • Coordinate with external vendors for specialized repairs or major maintenance needs.
  • Maintain compliance with all required life‑safety codes, including fire safety, emergency exits, alarms, extinguishers, and building accessibility standards.
  • Track and document maintenance activities, work orders, and inspection logs.
  • Order and maintain inventory of maintenance supplies, tools, and equipment.
  • Respond to urgent facility needs and after‑hours issues as required.
Lawn Care Program Supervision

  • Oversee daily operations of the Lawn Care participant program, including two crews performing mowing, trimming, edging, weeding, and seasonal yard maintenance.
  • Create daily and weekly schedules, assign work orders, and ensure timely completion of all contracted lawns.  Assure needed equipment is delivered to the worksite.
  • Monitor participant performance, provide coaching, assist with service delivery, as needed, and reinforce Ujamaa Place’s standards for professionalism, safety, and customer service.  Complete prescribed performance reviews as scheduled.
  • Conduct on‑site quality checks to ensure work meets program and customer expectations.
  • Approve participant timecards and maintain accurate attendance and payroll records.
  • Ensure all equipment is maintained, safe, and ready for use; coordinate repairs or replacements as needed.  Report repair and equipment expenses to be charged to the Lawn Care program.
  • Maintain positive customer relations, provide proof of completed lawn care, negotiate new and revised contracts for service.  Cultivate new customer relationships, as situations permit.
  • Meet regularly with Senior Accountant to assure separation of expenses and revenue from general operating funds.
  • Model trauma‑informed supervision and support participant skill development.
Janitorial Program Supervision

  • Supervise participants hired to work for the in‑house janitorial program.
  • Develop daily cleaning schedules for offices, common areas, restrooms, and program spaces.
  • Provide hands‑on training in janitorial best practices, safety, and equipment use.
  • Monitor performance, provide feedback, and ensure consistent quality standards.
  • Approve timecards and maintain attendance records.
  • Maintain janitorial supply inventory and coordinate ordering as needed.
Qualifications

Required

  • 2 years of experience in facilities maintenance, building operations, groundskeeping, or related field.
  • 2 years of experience supervising staff or crews, preferably in a workforce development or coaching environment.
  • Ability to perform basic facilities and equipment repairs and preventative maintenance tasks.
  • Strong organizational skills and ability to manage multiple priorities.
  • Ability to lift up to 50 pounds and perform physical tasks related to maintenance and grounds work.
  • Valid driver’s license and reliable transportation.
  • Demonstrated ability to maintain professional, respectful relationships with participants, staff, and external partners and customers.
Preferred

  • Experience working with justice‑involved or high‑barrier populations.
  • Experience in janitorial operations or lawn care services.
  • Knowledge of Minnesota building safety codes and life‑safety requirements.
Work Environment & Physical Requirements

  • Regular movement throughout buildings and outdoor spaces.
  • Frequent lifting, bending, carrying, and use of tools/equipment.
  • Exposure to outdoor weather conditions during lawn care supervision.
  • Occasional evening or weekend work for urgent facility needs.
