Responsibilities: Â Â Â Â Â
The Benefits Administrator is responsible for the expert level administration, optimization, and operational governance of the organization’s health, welfare, retirement, and leave programs. This role ensures flawless execution of all benefits processes, drives continuous improvement through data driven insights, and serves as a technical authority on benefits systems, compliance, and vendor performance. The administrator partners with HRIS, Payroll, Finance, and external carriers to ensure accuracy, compliance, and a seamless employee experience across all benefit touchpoints. This position requires deep subject matter expertise, advanced analytical capabilities, strong systems proficiency, and the ability to navigate complex regulatory environments. The Benefits Administrator acts as a key operational strategist within the Benefits function.
•    Oversee daily operations for medical, dental, vision, life, disability, voluntary benefits, COBRA, FSA/HSA, retirement plans, and leave programs with accuracy and compliance.
•    Maintain enrollment integrity through audits, reconciliations, and alignment across HRIS, carriers, and payroll.
•    Lead resolution of complex employee cases, vendor disputes, and system discrepancies.
•    Document end to end workflows to reduce errors and improve efficiency.
•    Maintain benefits setup in platforms such as Oracle, UKG, and ADP, including eligibility rules and payroll integrations.
•    Build dashboards, audits, and analytics to track enrollment trends, cost drivers, and compliance metrics.
•    Manage file feeds, troubleshoot errors, and coordinate with IT and vendors for data accuracy.
•    Conduct audits, root cause analysis, and data integrity checks across systems.
•    Ensure adherence to ERISA, ACA, HIPAA, COBRA, FMLA, IRS rules, and state mandates.
•    Maintain SPDs, SBCs, plan documents, and compliance notices in partnership with Legal.
•    Lead readiness for internal/external audits, including support for 5500 filings and nondiscrimination testing.
•    Identify compliance risks and implement corrective actions and process controls.
•    Partner with carriers, brokers, and TPAs to resolve escalations, monitor SLAs, and support renewals.
•    Review claims data, utilization trends, and vendor metrics to inform plan design.
•    Deliver expert employee guidance, develop communication materials, and support open enrollment planning and execution
Qualifications: Â Â Â Â
•    Education & Experience:
o    Preferred: Bachelor’s Degree and 3+ years of benefit administration experience.
o    Alternative: CEBS, CBP or equivalent certification and 3-5 years of benefit administration experience. Â
o    Alternative: 8-10 years of benefit administration experience. Â
•    Advanced skillset with Microsoft Office Suite (Excel, Word, Power Point, Outlook), Adobe and HRIS system.
•    Strong interpersonal skills – both oral and written.Â
•    The ability to work in a fast-paced environment and meet deadlines.
•    The ability to work with individuals at all organizational levels, particularly peers, team members, and department managers.
•    Handle employee and organization information in a confidential manner.
•    The ability to multi-task and accomplish ongoing tasks and project assignments in an accurate and timely manner with minimal level of supervision.
