Description

The Accounting and Office Administrator plays a pivotal role in providing administrative and accounting support across our GMC, Chevrolet, and Subaru dealerships. This position is designed for a highly organized, detail-oriented, and adaptable team member who can support multiple functions across dealership operations.


The Accounting and Office Administrator will be cross trained in various accounting and administrative functions and will provide backup coverage for the accounting team and front desk operations as needed. This position requires someone who is eager to learn, comfortable working with financial information and administrative processes, and able to maintain a high level of accuracy in a fast-paced automotive environment.

Essential Responsibilities:

  • Crosstrain in multiple accounting clerk functions to provide reliable backup coverage and support during absences, vacations, or periods of increased workload.
  • Assist with daily accounting and administrative functions, including data entry, filing, documentation, recordkeeping, and processing of financial information.
  • Support accounts payable, accounts receivable, vehicle deal paperwork, and other accounting functions as assigned and as training permits.
  • Assist with reconciliation, posting, and verification of accounting information while maintaining accuracy and confidentiality.
  • Review documents and records for completeness, accuracy, and proper documentation.
  • Provide receptionist and front desk coverage at dealership locations as needed.
  • Greet customers and visitors in a professional, friendly, and welcoming manner.
  • Answer and direct incoming telephone calls, take messages, and assist customers with general inquiries.
  • Assist with scheduling, customer communication, and directing customers to the appropriate dealership department or employee.
  • Maintain organized files, records, and office documentation in accordance with company procedures.
  • Assist with general office administration, including correspondence, scanning, copying, mail distribution, and other clerical functions.
  • Work collaboratively with accounting, sales, service, parts, management, and other dealership departments to support efficient daily operations.
  • Maintain confidentiality of customer, employee, financial, and dealership information.
  • Learn and utilize dealership accounting, office, and other computer systems accurately and efficiently.
  • Adapt to changing priorities and providing support wherever business needs are required.
  • Demonstrate professionalism, dependability, and commitment to Stocker Auto's core values of Honesty and Respect.
  • Perform other duties and responsibilities as assigned.

Position Qualifications

  • 2+ years of administrative, accounting, bookkeeping, or other related office support experience.
  • Automotive dealership or related industry experience is a plus but not required.
  • Strong attention to detail with a high degree of accuracy.
  • Excellent organizational and time-management skills.
  • Ability to handle confidential and sensitive information appropriately.
  • Strong written and verbal communication skills.
  • Professional, friendly, and customer-focused demeanor.
  • Proficiency with Microsoft Office, including Excel, Outlook, and Word.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Flexible and willing to assist in different areas of the dealership as business needs arise.
  • Strong problem-solving skills and the ability to ask questions and seek clarification when needed.
