Description

     

The Collison Center Office Administrator is a pivotal role to provide administrative support to our Collison Center. This position must be professional, organized, and customer-focused and may serve as the first point of contact for customers visiting our Collision Center. This full-time position plays a key role in delivering exceptional customer experience by providing administrative   support, coordinating customer communications, and assisting with the daily operations of the collision repair process.

The ideal candidate is professional, detail-oriented, and enjoys working in a fast-paced environment while providing outstanding customer service.

Requirements

  • Greet customers promptly and professionally, creating a welcoming first impression.
  • Answer incoming phone calls and direct inquiries to the appropriate team members.
  • Schedule collision repair estimates, vehicle drop-offs, and customer pick-ups.
  • Open and maintain repair orders and customer files with accuracy.
  • Assist customers with paperwork, insurance documentation, and obtaining required signatures.
  • Communicate repair status updates and coordinate customer notifications throughout the repair process.
  • Coordinate rental vehicle arrangements and assist customers with transportation needs when applicable.
  • Collect payments, process transactions, and close repair orders.
  • Maintain accurate customer records and ensure documentation is complete.
  • Support collision estimators and management with administrative tasks as needed.
  • Maintain a clean, organized reception area and customer waiting space.
  • Collaborate with technicians, estimators, parts personnel, and other dealership departments to ensure efficient daily operations.
  • Work on weekends or after collision center hours as needed. 
  • Perform other duties as assigned.
