Overview

The Inventory Control Specialist supports the accuracy and integrity of inventory records, product costs, par levels, and Food & Beverage cost-control information. This position processes and reconciles daily inventory transactions, maintains inventory data needed to generate purchase requests, research discrepancies, supports physical inventory activities, and prepares inventory and variance reporting.

 

The role requires accurate and efficient use of the Stratton Warren inventory system and regular collaboration with Purchasing, Receiving, Warehouse, Food & Beverage, and accounting personnel. The Inventory Control Specialist must also provide professional and personalized guest service consistent with the Company’s brand standards and core values: K.E.E.P. Responsibilities

  • Maintain accurate item, vendor, location, unit-of-measure, pricing, and cost information in Stratton Warren.
  • Regularly review and update inventory par levels in Stratton Warren based on usage, operational requirements, seasonality, supplier lead times, and anticipated demand to support the accurate generation of purchase requests. Coordinate with department leadership and purchasing to ensure approved purchase requests are reviewed by buyers and converted into purchase orders in a timely manner.
  • Process, review, and validate inventory transactions, including receipts, transfers, requisitions, returns, adjustments, and physical inventory entries.
  • Monitor Stratton Warren transactions and system interfaces; research exceptions, incomplete records, and processing errors and assist with timely correction.
  • Reconcile inventory purchases, receipts, transfers, and adjustments to invoices, receiving documents, requisitions, and other supporting records.
  • Assist Accounting with month-end inventory reconciliation, cost-of-goods-sold (COGS) reporting, and supporting documentation.
  • Coordinate with Purchasing, Receiving, Warehouse, Food & Beverage, and accounting personnel to resolve item, quantity, cost, unit-of-measure, and transaction discrepancies.
  • Perform scheduled cycle counts and participate in complete physical inventories.
  • Research inventory variances, identify potential causes, and prepare clear documentation of findings and recommended corrections.
  • Prepare routine inventory, product usage, cost, and variance reports for management review.
  • Identify unusual inventory activity, cost fluctuations, negative balances, or recurring discrepancies and communicate findings promptly to management.
  • Maintain organized and complete inventory records in accordance with departmental procedures and internal-control requirements.
  • Support departmental efforts to improve inventory accuracy, transaction efficiency, and cost control.
  • Perform other duties and responsibilities as assigned.

Qualifications

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements below represent the knowledge, skills, and abilities necessary for the position.

  • Hands-on experience with Stratton Warren is strongly preferred. The ability to learn and use the system accurately and efficiently is essential.
  • Working knowledge of inventory-control procedures and Food & Beverage products.
  • Experience using computerized inventory, purchasing, warehouse, or accounting systems.
  • Proficiency with Microsoft Excel and the ability to prepare, review, and reconcile inventory data.
  • Ability to accurately work with item numbers, quantities, units of measure, costs, invoices, and supporting documentation.
  • Ability to research discrepancies, analyze transaction activity, and clearly document findings.
  • Strong attention to detail, organizational skills, and follow-through.
  • Ability to prioritize assignments and meet daily, periodic, and month-end deadlines.
  • Ability to communicate professionally and work effectively with employees across multiple departments.
  • Ability to maintain confidentiality and handle financial and operational information appropriately.

EDUCATION and/or EXPERIENCE:

 

High school diploma or equivalent required.

One or more years of experience in inventory control, warehousing, purchasing, receiving, Food & Beverage operations, or related accounting work is preferred.

MATHEMATICAL SKILLS:

 

Ability to perform basic mathematical calculations, including addition, subtraction, multiplication, division, percentages, extensions, and inventory-cost calculations.

 

Language Skills:

 

Must be able to speak, read, write, and understand English sufficiently to follow instructions, review business documents, maintain accurate records, and communicate effectively with employees and management.

 

PHYSICAL DEMANDS:

 

  • Ability to move throughout the hotel, including standing, walking, kneeling, bending, and reaching for extended periods.
  • Ability to sit for extended periods while performing computer and administrative work.
  • Ability to communicate verbally and perceive sound.
  • Ability to regularly lift, push, pull, balance, carry, or otherwise move objects weighing up to 50 pounds.
  • Ability to walk distances of up to 500 feet repeatedly during a shift.
  • Frequent stooping and reaching. 

WORK ENVIRONMENT:

 

  • Work is performed primarily indoors in a climate-controlled environment, with occasional exposure to hot and cold temperature changes.
  • Regular exposure to a smoke-filled environment.
  • Work may be performed in close proximity to other employees.
  • Moderate to high noise levels.
  • Frequent walking and standing on tiles, mats, carpet, and cement surfaces.

Pay Range

USD $23.00 - USD $25.00 /Hr.
