The Role: Full Life Cycle Coordination with a Strong Client FocusÂ
As a Project Coordinator at Layer 9, you will oversee the entire flow of each project from intake and scheduling through execution, quality assurance, and final closeout. You will review communications, keep schedules organized, maintain project documentation, and act as a central point of contact for clients, vendors, and internal teams.Â
You will also serve as an active support partner during key phases of execution, periodically jumping in with the team onsite or remotely, validating progress, assisting the engineering team, and ensuring work aligns with scope and expectations. This role is an excellent fit for someone who excels in organization, coordination, communication, and attention to detail, and who also enjoys contributing hands-on to installations when needed.Â

Key ResponsibilitiesÂ
Project Lifecycle OwnershipÂ
• Oversee the project board, timelines, schedules, and coordination of resourcesÂ
• Review client and vendor communications to identify design requirements, scheduling updates, and project needsÂ
• Coordinate and confirm all project scheduling, site visits, and client meetingsÂ
• Lead or participate in internal and client kickoff meetingsÂ
• Periodically jump in with the team onsite or remotely, validating progress, assisting with implementation tasks, and ensuring work aligns with scope and expectationsÂ
Execution, Monitoring, and Quality AssuranceÂ
• Monitor progress against established timelines and budget expectationsÂ
• Ensure client updates are captured and reflected in schedulesÂ
• Perform quality assurance checks before project closeoutÂ
• Complete all closeout documentation, checklists, and communicationsÂ
Client and Vendor InteractionÂ
• Serve as a primary point of contact for scheduling, status updates, and scope clarificationÂ
• Respond to client inquiries in a clear and timely mannerÂ
• Identify out-of-scope work and assist in refining Statements of WorkÂ
• Maintain coordinated communication between internal teams, clients, and vendorsÂ
Operational SupportÂ
• Oversee fleet-related tasks including registration renewals, inspection scheduling, and vehicle service appointmentsÂ

What We’re Looking ForÂ
• Someone who is naturally strong in organization, coordination, communication, and detail-oriented work, and who also enjoys physically assisting with installations when necessaryÂ
• Two or more years of experience in project coordination or technical support (MSP experience preferred)Â
• A proactive, forward-thinking mindset with the ability to anticipate needs and potential risksÂ
• Clear and confident communication skills with both clients and internal teamsÂ
• Ability to thrive in a fast-paced, deadline-driven environmentÂ
• Working knowledge of IT environments including Windows Server, Microsoft 365, Active Directory, Microsoft AVD, Intune, Entra join, virtualization, and networkingÂ
• PMP certification recommended but not requiredÂ
