Job DetailsJob Location: Sugar Land, TX 77478Mako Industries is hiring a Document Controller that will be responsible for managing, organizing, tracking, and maintaining project and quality documentation for fabrication shop operations. This position ensures that engineering drawings, specifications, inspection records, welding documentation, material certifications, procedures, reports, and other controlled documents are properly received, reviewed, distributed, updated, and archived. The Document Controller works closely with Project Management, Engineering, Quality Control, Welding, Fabrication, Purchasing, and field personnel to ensure that teams are always working with the latest approved documentation and that project records are complete, accurate, and traceable. Maintain and control project, engineering, fabrication, quality, and inspection documentation. Receive, register, distribute, and track drawings, specifications, procedures, revisions, and other controlled documents. Maintain document logs and ensure all documents are properly identified, dated, numbered, and filed. Control drawing revisions and ensure obsolete or superseded documents are removed from active use. Distribute approved drawings and documents to fabrication, welding, quality control, engineering, and project personnel. Maintain accurate records of document revisions, transmittals, approvals, and distribution. Collect and organize Quality Control documentation, including inspection reports, weld inspection records, dimensional inspection reports, checklists, and non-conformance reports. Maintain welding documentation, including weld maps, weld procedures, welder qualifications, and related records as applicable. Organize material documentation such as Material Test Reports (MTRs), certificates of compliance, and material traceability records. Track project documentation to ensure required records are submitted, reviewed, approved, and closed out. Maintain electronic and physical filing systems for easy retrieval and audit purposes. Prepare document transmittals and distribute documentation to internal departments, customers, vendors, and project teams as required. Verify that documents are complete, legible, properly identified, and submitted according to project requirements. Assist Quality Control and Project Management with preparation of final project documentation and turnover packages. Maintain document registers and status reports showing outstanding, submitted, approved, and rejected documents. Follow up with responsible personnel on overdue or missing documentation. Support internal and external audits by providing requested documentation and records. Ensure confidential and controlled information is handled appropriately. Maintain accurate records in accordance with company procedures and customer requirements. Assist with continuous improvement of document control processes and filing systems. Perform other administrative and document-control duties as assigned. Qualifications Previous experience in document control, project administration, quality documentation, or a similar role preferred. Experience in a fabrication, welding, construction, manufacturing, or industrial environment is preferred. Strong organizational and record-keeping skills. Ability to manage multiple documents, revisions, and priorities simultaneously. Strong attention to detail and accuracy. Ability to read and understand basic engineering and fabrication documentation. Proficiency with Microsoft Office, particularly Word, Excel, Outlook, and PDF/document management tools. Ability to maintain organized electronic and physical filing systems. Good written and verbal communication skills. Ability to work effectively with Engineering, Quality, Fabrication, Welding, Project Management, and other departments Ability to identify missing, incomplete, outdated, or conflicting documentation. Ability to work independently while meeting project deadlines. Experience working in a fabrication or welding shop. Familiarity with engineering drawings, fabrication drawings, and drawing revision control. Experience with Quality Control or Quality Assurance documentation. Familiarity with WPS, PQR, welder qualifications, weld maps, MTRs, and inspection reports. Experience preparing project turnover or manufacturing record books (MRBs). Experience with document management systems or electronic document control platforms. Familiarity with ISO quality systems or other applicable quality standards is a plus. Previous experience supporting industrial, oil & gas, structural, pressure vessel, piping, or mechanical fabrication projects is a plus.
