Qualifications 

  • Experience supporting multi-site retail or commercial environments preferred  
  • Proficiency with CMMS/work order systems.

  • Working knowledge of building systems (HVAC, electrical, plumbing, mechanical)  
  • Strong organizational, time management, and problem-solving skills  
  • Ability to manage high work order volume in a fast-paced environment  
  • Experience working with vendors and cross-functional teams  
  • Proficiency in Microsoft Office Suite (Excel, Outlook)  
  • Financial acumen with experience reviewing quotes, invoices, and managing costs  

 

Preferred Qualifications 

  • 2+ years of experience in facilities maintenance, facilities coordination, or property management 
  • Experience in retail, telecom, or multi-unit operations  
  • Familiarity with SLA-driven service environments and performance metrics  
  • Experience supporting preventative maintenance programs

Qualifications

Position Overview 

We are seeking a highly organized and operationally driven Facilities Specialist to support facilities operations across a large, multi-location retail environment. This role is responsible for managing high-volume work orders, coordinating vendor activity, and ensuring all locations meet safety, maintenance, and operational standards. 

This position plays a critical role in maintaining business continuity by minimizing downtime, controlling costs, and ensuring that service execution aligns with established service-level agreements (SLAs). The ideal candidate demonstrates excellent communication skills, AI proficienciesstrong decision-making abilities, and thrives in a fast-paced, high-accountability environment. 

This role participates in a structured on-call rotation to support after-hours and emergency maintenance needs, ensuring continuity of operations across the portfolio. 

 

Key Responsibilities 

Work Order & Maintenance Execution 

  • Manage and triage facilities work orders across multiple locations using a CMMS platform 
  • Prioritize and assign corrective and preventative maintenance to ensure SLA compliance  
  • Monitor work order lifecycle, ensuring timelyaccurate, and complete service delivery  
  • Make judgment calls on routing work to internal resources vs. external vendors  
  • Coordinate rapid response to emergency maintenance issues to minimize operational disruption  

 

 Vendor Management & Sourcing 

  • Coordinate vendors for repairs, preventative maintenance, and emergency service requests  
  • Source and onboard qualified local vendors to ensure strong regional coverage  
  • Solicit, evaluate, and negotiate competitive bids aligned with scope and budget  
  • Track vendor performance, service quality, and completion timelines  
  • Maintain and continuously update vendor database and compliance records  

Financial Oversight & Cost Control 

  • Monitor facilities-related expenses and support budget tracking across assigned locations  
  • Review and approve vendor quotes with a strong understanding of scope and cost drivers  
  • Audit and reconcile vendor invoices to ensure accuracy and alignment with services performed  
  • Drive cost-effective decision-making without compromising service quality  
  • Identify cost-saving opportunities and recurring expense trends  

Compliance, Reporting & Asset Management 

  • Maintain accurate records of assets, service history, and maintenance activity within CMMS  
  • Ensure compliance with OSHA standards, safety regulations, and company policies  
  • Identify recurring facility issues and support implementation of preventative maintenance solutions  
  • Track and report on KPIs, including SLA performance, vendor effectiveness, and work order completion rates  
  •  

 Stakeholder Communication & Support 

  • Serve as a primary point of contact for field teams regarding maintenance requests and status updates  
  • Partner with field leadership to address urgent facility needs and operational priorities  
  • Support new store openings, relocations, and remodel projects from a facilities standpoint  
  • Provide clear, timely communication to internal stakeholders and leadership
