LOCATION: Sumter, SC 

 


Overview:

Coordinates Inside Sales Activities for the Nafta Cores and Components business and/ or Permanent Magnet business and / or Specialty Materials business. Processes customer purchase orders. Makes recommendations and prepares customer quotations and ensures quotes are approved per company guidelines. Coordinates logistics and shipping information. Coordinates customer samples and keeps and maintains a local sample stock. Mails literature to customers and sales personnel. Provides sales history reports as required.



RESPONSIBILITY for

  • Customer order entry and processing
  • Quotations per VAC procedure and guidelines.
  • Coordinating customer shipments and communicating lead times and order status information
  • Process RMA’s
  • Maintain local sample stock and coordinate shipment of samples (both standard parts and Kfile parts)
  • Take customer phone calls and emails and respond to inquiry or direct to appropriate VAC contact.
  • Keep appropriate inventory of VAC literature, datasheets and brochures and send to
  • customers, sales managers and trade shows as required.

 

 

ESSENTIAL DUTIES include the following. Other duties may be assigned.

 

 

  1. Customer order entry and processing
  • Ensure the pricing, payment terms and freight terms are per the agreed to VAC quotation.
  • Ensure the customer request date is accurately reflected in the order entry request date
  • to account for the logistics channel being utilized.
  • Ensure correct part number is on the PO and the SAP order and that the revision level is current.
  • Communicate any discrepancies to the customer and clarify them prior to processing the purchase order.
  • Enter orders in SAP.

 

  1. Quotations per VAC procedure and guidelines
  • Prepares customer quotations per VAC guidelines.
  • Prepares an excel sheet identifying part number, volumes, LASK, VSK, book pricing, margin, recommended pricing and approvals required.
  • Updates the RFQ review spreadsheet as needed. Each inquiry should be entered when the process begins and is current until a final status is provided.
  • Ensures the quote is approved by the appropriate and required personnel prior to
  • submitting to the customer. Ensures quote is processed in a timely manner.

 

  1. Coordinating customer shipments and communicating lead times and order status information
  • Communicates ship date and lead time information to customers.
  • If improved delivery / lead time is required then is communicated and coordinated with Hanau Logistics team.
  • As needed, communicates shipping information with Hanau Logistics and/or Customs Broker

 

  1. Process RMA’s
  • Coordinates RMA’s with Hanau, customer and US team member as required.

 

  1. Maintain local sample stock and coordinate shipment of samples (both standard parts and Kfile parts)
  • PM
    • Coordinate with sales and warehouse, when a sample is needs to be produced.
    • Coordinate shipment of samples to customer.
  • CC
    • Maintains a CC sample stock in the Elizabethtown office and sends samples to customers and Regional Sales Managers as requested.
    • Coordinates shipment of samples, both standard and Kfile parts, from VAC factories to Nafta. Some samples go to Elizabethtown, some go directly to customers and some get delivered to the Regional Sales Manager. Coordinates on a case by case basis.
  • PM
    • Maintains appropriate sample stock in the Elizabethtown office and sends samples to customers as required.

 

  1. Take customer phone calls and emails and respond to inquiry or direct to appropriate VAC contact.
  • Responds to customer inquiries or directs the inquiry to the appropriate VAC person.

 

  1. Keep appropriate inventory of VAC literature, datasheets and brochures and send to customers, sales managers and trade shows as required.

 

  1. When required, send invoices and coordinate customer payables.

EDUCATION and/or EXPERIENCE:.

 

Education in business, accounting, customer service or equivalent experience.


Work experience in one or more of the following areas: customer service, inside sales, outside sales, accounting.

 



LANGUAGE SKILLS:

 

Fluent English


German not required but beneficial.


Ability to read reports and business correspondence. Ability to effectively understand information and respond to questions from managers, clients, customers, and/or coworkers.

 


 

REASONING ABILITY:

 

Ability to help solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


Ability to communicate with internal & external organization, other VAC locations, customers & business partners

 

 


OTHER SKILLS and ABILITIES:

 

Knowledge of and/or experience with Microsoft Office software. Knowledge of and/or experience with SAP

 


 

SAFETY

 

  • Maintains good safety practices.
  • See that all accidents, incidents, and near misses are reported (via reports) and that first aid is given in case of injury.
  • Insures that all safe working procedures are followed and observed.
  • Checks for unsafe conditions during their shift. Corrects or reports these items to the supervisor.
  • Maintains a high standard of housekeeping as part of normal operations.
