Position Summary: 

The Chief Clerk serves as a senior administrative and governmental liaison to the Board of Commissioners. The Chief Clerk is responsible for coordinating the administrative operations and official business of the Board, facilitating communication between the Commissioners, county departments, elected officials, outside agencies, and the public, and ensuring that directives and decisions of the Board are appropriately communicated and followed through. This position requires a high level of professionalism, discretion, organizational ability, and the ability to handle sensitive and confidential governmental matters. 

  

Duties & Responsibilities: 

  •  Analyzes administrative operations and problems, prepares reports of findings and recommendations.
  •  Assists Commissioners in implementing new policies, programs or office alignments. 
  •  Assists the Commissioners in the management of County programs.
  •  Ensures adherence to administrative standards or policies developed by the Commissioners.
  •  Prepares agendas and makes arrangements for hearings or meetings of the Commissioners.
  •  Reviews correspondence, reports, news sources or publications and informs the Commissioners of subsequent developments or problems.
  •  Collects, interprets, analyzes and summarizes information to be used as a basis for executive action by the Commissioners. 
  •  Monitors deadlines and outstanding matters requiring Commissioner action or follow-up. 
  •  Supervises small staff engaged primarily in providing clerical and technical support in the Commissioner’s office.

     

Knowledge, Skills, and Abilities: 

  • Knowledge      of county government operations, public administration, ad governmental      processes. 
  • Understanding      of the role and responsibilities of a Board of Commissioners. 
  • Ability      to work effectively with elected officials, department heads, employees, attorneys, government agencies, and members of the public.
  • Exceptional      organizational and follow-up skills.
  • Strong      written and verbal communication skills.
  • Abilit      to prepare professional correspondence, report, meeting materials, and      governmental documents.
  • Ability      to manage multiple priorities and competing deadlines. 
  • Ability      to remain professional, and objective when dealing with competing      interests. 
  • Strong      problem-solving and research abilities. 
  • Proficiency      with Microsoft Office and other governmental administrative systems. 

Education and experience:

  •  Graduation from accredited high school or equivalent.
  •  Supplemental coursework in business administration, office management, or a related field.
  •  Clerical or administrative experience including supervisory or lead-worker experience.
