JOB SUMMARY
Support and assist the Inside Sales team by managing routine administrative, documentation, reporting, and order-coordination activities.
ESSENTIAL FUNCTIONS
- Provide day-to-day administrative and operational support to the Inside Sales team.
- Respond to non-sales customer support calls as needed (documentation requests, tracking numbers, certifications).
- Respond to sales requests for packing slips, Certificates of Conformance (CofC), certifications from scanned packing slip file, and other customer documentation.
- Locate and provide existing compliance documentation requested by sales and customers.
- Contact suppliers to obtain missing, expired, or updated compliance documentation and ensure it is available for Sales use.
- Track and update internal RFQs generated by Sales, ensuring information is accurately documented in the company's systems.
- Assist the Purchasing team with the day-to-day management and follow-up of the expediting report, including open POs, supplier commitments, due dates, and late or incomplete orders, while developing familiarity with PO management and Olander’s supplier base.
- Manage and expedite the Unconfirmed Pick Ticket (UPT) live report.
- Handle and resolve sales non-conformance claims and RMAs.
- Review customer open order reports to make sure there are no discrepancies between customers records and our system reflecting changes (cancellations, pull ins, push outs).
- Modify and coordinate usage reports to be pulled and sent to specific VMI representatives for distribution to their customers.
- Communicate with suppliers regarding order status, documentation, discrepancies, and other issues affecting customer orders.
- Identify potential delays or issues and communicate them to the appropriate Sales or Purchasing team members.
- Support and assist with sales programs and initiatives as needed and requested.
QUALIFICATIONS
- High school diploma or equivalent.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to follow up consistently and take ownership of assigned tasks.
- Proficiency with Microsoft Office, Outlook and Excel.
- Ability to work effectively with Sales, Purchasing, suppliers, and other internal departments.
- Ability to learn company systems, processes, products, and terminology.
- Experience working with ERP or business management software.
- Previous experience in sales support, customer service, purchasing, order administration, or a similar role preferred.
- Experience in the distribution, manufacturing, or fastener industry preferred.
- Familiarity with purchase orders, supplier management, certifications, compliance documentation, or VMI programs preferred.

- Able to read documents, computer screens, and make entries into the software system.

Pay Salary Range: $55k-$68k per hour DOE
This role is eligible for the Company/Team bonus plans.
Olander complies with state and federal wage and hour laws and determines compensation based on candidate’s qualifications, education, skill set, experience, and internal equity.
