About the Position
Mason Security Protective Services LLC is seeking a dependable and detail-oriented Operations & Compliance Coordinator to support our growing team.
This position is responsible for employee onboarding, compliance documentation, client credentialing, scheduling, timekeeping, and daily operational support. The coordinator will work closely with employees, clients, and management to ensure required information is accurate, current, and submitted on time.
The ideal candidate is proactive, organized, professional, and comfortable managing multiple priorities in a fast-paced office environment.
Key Responsibilities
Employee Onboarding & Compliance
- Manage the employee onboarding process from initial documentation through completion.
- Send onboarding instructions and required documentation to new employees.
- Collect, review, organize, and upload employee records.
- Complete and maintain employee information in company systems.
- Verify Florida Class D and Class G security license status.
- Verify driver's license status and required driver documentation.
- Monitor license, certification, and credential expiration dates.
- Follow up on missing, incomplete, or expired documentation.
- Maintain accurate and current employee records.
Scheduling & Workforce Operations
- Create, update, and maintain weekly employee schedules.
- Coordinate schedule changes, call-outs, and coverage requirements.
- Monitor daily staffing levels across assigned locations.
- Verify employees are clocked in through required timekeeping systems.
- Confirm employees are physically onsite at their assigned locations.
- Follow up on missed clock-ins, late arrivals, call-outs, and attendance concerns.
- Identify staffing issues and promptly communicate them to management.
Timekeeping
- Complete employee onboarding and required updates.
- Assist employees with basic onboarding and timekeeping questions.
- Monitor timekeeping records and identify discrepancies.
- Follow up on missed or incorrect punches.
- Ensure employees follow established clock-in and clock-out procedures.
- Assist management with resolving timekeeping issues.
Administrative & Office Support
- Maintain organized digital and physical records.
- Handle confidential employee information and Personally Identifiable Information (PII) responsibly.
- Prepare professional emails and operational communications.
- Communicate effectively with employees, clients, and management.
- Assist with day-to-day office operations and administrative needs.
- Support management with operational projects and assignments.
Qualifications
Required
- Minimum 2 years of relevant experience in operations, administration, HR, compliance, staffing, workforce management, or a related field.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and accuracy.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently and take initiative.
- Strong computer and technology skills.
- Proficiency with email, Microsoft Office, Google Workspace, and online systems.
- Ability to maintain confidentiality when handling employee and client information.
- Professional demeanor and strong interpersonal skills.
- Reliable transportation and the ability to consistently report to the office on time.
- Ability to work Monday through Friday in an office environment.
Preferred
- 3+ years of relevant experience.
- Experience with ADP or similar HR/payroll platforms.
- Experience with employee scheduling and timekeeping systems.
- Experience using client portals or credentialing systems.
- Previous experience in security, law enforcement, military, staffing, HR, or operations.
- Familiarity with Florida security licensing requirements.
- Experience supporting multiple employees, locations, or client accounts.

The ideal candidate is someone who takes ownership and follows through.
You should be comfortable identifying what needs to be done, prioritizing the task, and seeing it through to completion without constant supervision. Whether it involves a missing employee document, an expiring license, a client submission, a scheduling issue, or a timekeeping discrepancy, you are expected to address the issue promptly and keep management informed when necessary.
This position is well suited for someone who enjoys working in a structured but fast-moving environment and takes pride in keeping operations organized and running smoothly.
This is a 100% in-office position. Remote or work-from-home arrangements are not available.
Occasional communication regarding time-sensitive staffing or operational matters outside normal business hours may be required based on business needs.
