JOB SUMMARY Under general supervision, provides front office administrative support for DSH. Administrative duties include but are not limited to answering phones and directing callers; assisting in-person visitors; scheduling and confirming all OP appointments, coordinating transportation for group members, assisting with group set-up, handling mail and correspondence. DUTIES AND RESPONSIBILITIES The duties and responsibilities listed below are essential to the employee’s position. Successfully completing regulatory training requirements periodically. Working collaboratively in all facets of position to meet position requirements and support hospital goals. Maintain confidentiality of information. Destiny Springs Healthcare Employees will support the Hospital’s vision and role model the core values and behaviors by: Cultivating a positive work environment. Being efficient with time at work. Communicating effectively with patients and visitors as well as management and staff. Being flexible. Maintain integrity in all conversations and actions. Consistently reports to work on time prepared to perform duties of position.   Professionally greets all “visitors”/callers to DSH. Either assists individual directly or directs person to the appropriate person/division/department. Assess and screen calls from the public to determine which service best fits their issue or need. Sorts and distributes incoming mail as well as preparing outgoing mail and other correspondence. Provides administrative support for DSH to include telephone coverage, copier projects, mail handling, filing, supplies control and necessary internal and external communications. Prepares daily paperwork and/or administrative assignments, as needed, according to procedures. May be asked to prepare general correspondence, memos, charts, spreadsheets, reports, etc. Calendaring/Scheduling: Schedules and keeps track of patient groups and individual sessions along with  meetings and other reservations for conference rooms. Assists with group set-up and take down as needed. EDUCATION AND/OR EXPERIENCE Requires a High School Diploma or General Education Degree (GED). Two to three years’ experience in a front office / administrative position required. Experience in a hospital or behavioral health setting preferred. COMPUTER SKILLS Microsoft windows environment with Office Suite to include formatting and production of word processing documents, spreadsheets, and reports. Ability to use tools for video conferencing, as needed. Certificates, Licenses, Registrations: Required:  Level one fingerprint clearance card in the State of Arizona or provide proof of application by hire date. CPR certification within 30 days of employment. CPI certification within 30 days of employment. KNOWLEDGE, SKILLS, AND ABILITIES Should be customer-service driven. Position requires demonstrated poise, tact and diplomacy along with the ability to handle sensitive and confidential situations. Should have a professional and personable demeanor. Ability to read and comprehend instructions, correspondence, and memos. Good spelling and grammar skills. Requires an ability to work with numbers and mathematical concepts (adding, subtracting, etc.) on a regular basis. Excellent follow-through skills. Strong attention to detail and well organized. Must have excellent telephone etiquette and verbal communications. Ability to handle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate. Is a self-starter and can work independently. Ability to file alphabetically and operate general office equipment such as facsimile, and photocopy machine. Ability to remain in one place for a long period of time. Ability to react calmly and effectively in emergency situations. WORK ENVIRONMENT: This job operates in an outpatient hospital reception setting. This role routinely requires interaction with patients, visitors, documentation, and utilization of standard office equipment. Regular attendance is required. Overtime including weekends may, at times, be required to fulfill duties of position. Individual must be able to work in a fast-paced environment with the ability to handle and prioritize multiple, competing tasks and demands and to seek supervisory assistance as appropriate.
