This is an onsite position.

 

Job Summary: The Office Assistance serves in a support role, serving multiple departments across ProAct. 

 

Scope of Responsibilities: Works under general supervision.  Follows established procedures to accomplish assigned tasks and escalate issues as appropriate. 

  • Protect and maintain the confidentiality of all company business and any personal information obtained in the course of performing job duties
  • Assist with corporate travel arrangements as directed, including coordinating with travel agencies and submitting accommodation booking requests.
  • Perform general administrative duties
  • Responsible for sorting and distributing incoming/outgoing faxes, internal mail and external mail to appropriate offices
  • Coordinate various corporate meetings or events including venue procurement, food, activities and other meeting materials or event needs as required. Screen phone calls and visitors and follow security procedures
  • Assist Marketing, Account Management, Help Desk and Proposal departments with daily and/or special projects as time allows
  • Assist with the distribution and tracking, of client and vendor contracts
  • Assist with the shipping and/or receipt of supplies and materials as needed
  • Responsible for completing all assigned projects in a timely manner
  • Responsible for completing all mandatory and regulatory training programs
  • Perform other duties as assigned

Job Skill Requirements:

  • Strong written and verbal communication skills
  • Working knowledge with Microsoft PowerPoint, Excel and Word
  • Ability to get along well with co-workers and with supervisors
  • Excellent phone communication skills

 

Educational Requirements:

  • Preferred: Associate’s Degree

 

Experience:

  • Preferred: 1 or more years experience working in an office setting, reception or customer service.

 

Compensation:

 

$20.00-22.00 per hour.

 

The final offer will be determined after careful consideration of multiple factors such as relevant skills, years of experience and education.
