Job Title: Integration Administrator

Department: Property Transition

Reports To: Ariana Petrosino 

Location: On-site

FLSA Status: Full Time, Non-exempt

 

Position Summary:

The Integration Administrator supports property transitions by managing tenant data, financial reporting, and administrative processes. This role works closely with Finance, Leasing, Operations, and on-site teams to ensure accurate setup, compliance, and smooth onboarding of tenants and properties.

 

Key Responsibilities


 Financial Reporting & Accounts Receivable

  • Distribute, audit and input and track tenant sales in collaboration with mall teams
  • Track collections notes and generate AR reports
  • Apply cash receipts to tenant profiles during onboarding to ensure accurate setup
  • Assist with tenant banking transfers and explain direction letters
  • Escalate non-compliance or payment issues to management as needed


 Tenant & AR Management

  • Track and distribute statements for tenants with significant outstanding receivables
  • Partner with the Office Coordinator to monitor and resolve monthly rent issues
  • Monitor tenant compliance with sales reporting requirements


 Property Transition Support

  • Manage and organize incoming property transition reports
  • Track received vs. outstanding documentation
  • Coordinate document uploads and file sharing with internal departments
  • Facilitate banking setup by working with banking representatives and completing required paperwork
  • Support field teams during transitions to ensure employees are connected to the appropriate departments and receive required training


Administrative & Data Support

  • Lead tenant data cleanup initiatives to ensure accuracy across systems
  • Organize, digitize, and maintain tenant documentation (leases, addendums, compliance records)
  • Maintain tenant master data, including contact information, lease details, and banking information
  • Track lease milestones, expirations, and critical dates
  • Assist with administrative aspects of lease onboarding and renewals
  • Maintain organized digital and physical filing systems
  • Support ad-hoc administrative requests for mall management and finance teams
  • Ensure confidentiality and accuracy when handling tenant information


 On-Site Support

  • Assist with vendor direction letter correspondence
  • Support the Office Coordinator with collection of Certificates of Insurance (COIs)
  • Provide administrative support for on-site team onboarding as needed

Communication & Tenant Liaison

  • Serve as a point of contact for tenants regarding administrative and billing inquiries
  • Coordinate communication between tenants, Finance, Leasing, and Operations teams
  • Prepare reports on tenant payments, arrears, and sales submissions
  • Track and report outstanding administrative actions

 

Process Improvement & Projects

  • Support administrative cleanup and standardization initiatives
  • Identify inefficiencies and recommend process improvements
  • Assist with system updates, data migrations, and implementation of new administrative tools
  • Create templates and standard operating procedures for tenant administration tasks


Qualifications

Required

  • Associates degree in Business Administration, Finance, Accounting, or a related field
  • 1–3 years of experience in financial analysis, property management support, or business operations
  • Strong proficiency in Microsoft Excel and experience with financial or property management systems
  • Excellent organizational, time management, and communication skills
  • Ability to collaborate effectively across departments


Preferred

  • Experience in real estate or commercial property management
  • Familiarity with lease agreements and basic accounting principles

Work Environment & Physical Demands:

  • May require occasional travel to properties.
  • Use of computer screens and keyboards
  • Manual dexterity sufficient for constant use of a keyboard, mouse and telephone/radio
  • Ability to operate office equipment, including a copier, fax machine, postage machine, etc.
  • Ability to lift 20 pounds
  • Speech and hearing sufficient for regular communications on the phone, radio or face-to-face
  • Vision sufficient for reading work-related documents on a monitor or in paper format
  • Sufficient sense of smell to detect dangerous odors
  • Ability to walk, bend, stoop, climb, and reach in the course of normal office functions
  • Ability to sit and stand for long periods of time
