ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Support the coordination of custom cabinet projects from contract through installation, helping ensure timelines, budgets, and quality standards are met.
  • Assist in preparing for and documenting client meetings and pre-construction discussions related to custom cabinet design intent, budget, scope, and expectations.
  • Review cabinet drawings, layouts, and architectural plans to confirm alignment with project scope and client specifications, flagging discrepancies to the Project Manager.
  • Utilize software systems such as Agility, Zoho, and Excel to manage project schedules, sales orders, estimates, and change orders.
  • Track and help process custom cabinet submittals, change orders, RFIs, and ASIs.
  • Monitor cabinet product lead times and communicate proactively with internal teams and clients about material timelines and approval needs.
  • Coordinate daily and long-term project schedules, material lead times, and installation sequencing alongside the Project Manager.
  • Support vendor relationships through consistent communication and follow-up.
  • Assist in tracking project budgets, billing progress, and budget milestones.
  • Communicate clearly with accounting and clients regarding billing status and change order processing.
  • Support daily and weekly production coordination meetings with internal teams and subcontractors.
  • Provide shipping and staging instructions to internal logistics/shipping teams as directed.
  • Help confirm custom cabinet products are delivered to the jobsite completed, labeled, and stocked correctly.
  • Support periodic site visits to verify measurements, monitor installation progress, and help resolve field-related issues.
  • Maintain project documentation and management software with current progress, cost tracking, and pending issues.
  • Provide adept support to multiple departments and projects, ensuring seamless communication and collaboration between internal teams and external stakeholders.
  • Maintain a composed and positive demeanor while handling daily office tasks, including clerical duties, customer communication, and database management.
  • Maintain consistent and dependable attendance, recognizing that this role requires dedication to demanding hours and flexibility to accommodate dynamic schedules.
  • Other duties as assigned.

EXPERIENCE AND EDUCATION

  • High School Diploma or GED; Associate degree preferred.
  • Construction environment experience or one year of experience in a similar role; custom cabinetry experience a plus.
  • Must be able to read construction plans and specifications.
  • Comfortable visiting job sites as needed.
  • A combination of education and related experience may substitute for education requirements.

SKILLS AND ABILITIES

  • Proficient in Microsoft Office Suite, particularly Excel, for efficient data management and analysis.
  • Familiarity with project management software (e.g., Agility, Zoho) to track progress, coordination, budgets, and job site activities.
  • Aptitude in navigating web browsers, search portals, and online data retrieval systems to support project coordination and research.
  • Working understanding of blueprints and architectural drawings related to custom cabinetry.
  • Exceptional communication skills, both verbal and written, coupled with strong administrative abilities for effective correspondence and customer interaction.
  • Ability to maintain exceptional organization amidst competing priorities, showcasing self-discipline and strong time management capabilities.
  • Commitment to meeting assigned deadlines and exceeding expectations, driven by genuine care for customer and company satisfaction.
  • Capacity to exercise sound judgment in decision-making, balancing independence with collaboration as needed.
  • Proven track record of strong attendance and reliability.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals in English.
  • Ability to work schedule as assigned.
